The Administrative Clerk is responsible for functions of the TMA system, which includes opening & closing of job cards, costing, report generation and scheduling for the Garage department.

Specific Duties:

  • Generate Daily status report using TMA for management
  • Generate reports (ie history, PM compliance and Graphical) is generated as instructed by Fleet Maintenance Manager.
  • Informs the TMA Coordinator and Fleet Maintenance Manager of any repeat defects or trends that require attention.
  • Open and Close work orders for both shifts in a timely manner
  • Check and verify with supervisors to ensure accurate and timely completion of Job card.
  • Ensure that Job cards are generated for all defect sheet issued by user departments.
  • Generate monthly expense report and circulate to Fleet Maintenance Manager.
  • Follow up with shift supervisor to ensure that work orders are closed at the end of each shift.
  • Enter Purchase Orders on TMA in a timely manner.
  • To ensure that PM schedule is printed and issued to the Manager and Shift Supervisors at the beginning of each month.
  • Filing of all correspondences for the department
  • Preparation of letters, memos and reports
  • Maintenance of of vehicle files 
  • Work with the Fleet Maintenance Manager to prepare the department roster and vacation schedule for employee
