The Administrative Clerk is responsible for functions of the TMA system, which includes opening & closing of job cards, costing, report generation and scheduling for the Garage department.
Specific Duties:
Generate Daily status report using TMA for management
Generate reports (ie history, PM compliance and Graphical) is generated as instructed by Fleet Maintenance Manager.
Informs the TMA Coordinator and Fleet Maintenance Manager of any repeat defects or trends that require attention.
Open and Close work orders for both shifts in a timely manner
Check and verify with supervisors to ensure accurate and timely completion of Job card.
Ensure that Job cards are generated for all defect sheet issued by user departments.
Generate monthly expense report and circulate to Fleet Maintenance Manager.
Follow up with shift supervisor to ensure that work orders are closed at the end of each shift.
Enter Purchase Orders on TMA in a timely manner.
To ensure that PM schedule is printed and issued to the Manager and Shift Supervisors at the beginning of each month.
Filing of all correspondences for the department
Preparation of letters, memos and reports
Maintenance of of vehicle files
Work with the Fleet Maintenance Manager to prepare the department roster and vacation schedule for employee
