The Administrative Assistant is responsible for providing Administrative and Secretarial support to enhance the efficient operations of the Department.
REQUIRED EDUCATION/EXPERIENCE/EXPERTISE:
ü NVQ-J Level 4 Certification or Associate Degree in any of following disciplines: Business Administration, Public Sector Administration, Computer Science, Project Management, Industrial Psychology or Office Administration
ü At least two (2) years relevant work experience in a comparable position in relevant industries such as: Higher Education Services, a National Training Agency, a Public Body or a Financial Institution
KEY COMPETENCIES:
ü Knowledge of Organizational policies and procedures
ü Good Written and Oral Communication skills
ü Good Time Management skills
KEY DUTIES:
ü Plans and organizes meetings, workshops and seminars
ü Produces and transcribes notes from dictation/digital voice recorders
ü Receives, sorts and logs all correspondence
ü Provides information to Clients/Customers as required
ü Tracks monthly income and expenditure for all interventions
ü Prepares Purchase Orders
ü Maybe required to attends meetings and workshops on behalf of the Department
ü Prepares reports and other documents
ü Interacts with stakeholders and responds to their queries as required
ü Drafts letters and replies to correspondence on behalf of the Senior Manager; ensures that all incoming documents requiring the Senior Manager’s approval/signature are in order, and ensures that the documents thereafter are dispatched
ü Maintains the Senior Manager’s calendar; highlights critical important matters/issues for discussion and action
ü Coordinates Staff Performance Appraisals
ü Records and produces Minutes for meetings
ü Assists in Budget preparation
ü Conducts reference checks for all new employees in keeping with the decentralized recruitment procedures
