Admin Assistant • Transcribe minutes • Files documents • Organise meetings • Answers incoming calls • Provide Administrative Support

Main Duties & Responsibilities
  • Provides inspired support to ensure efficient operation of office.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Assist with travel arrangements for senior staff such as booking flights, cars , and hotel or restaurant reservations.
  • Exhibits polite and professional communication via phone, email, and mail.
  • Supports team by performing tasks related to organization and strong communication.
  • Provides information by answering questions and requests.
  • Contributions to team effort by accomplishing related results as needed.
  • Scans or reads incoming materials in order to determine how and where they should be filed as directed by your supervisor.
  • Collects, sorts, prepares and delivers letters or other items to bearer(s) and/or authorised personnel
  • Ensures a record of delivery is maintained
  • Receive & dispatch to Customers and maintains a log of all
    • Client statements
    • Subscription Confirmation
    • MML Multiple Portfolio Fund Statements
    • Bond Statement  
    • Repurchase Agreement Transaction Confirmation
    • Files and maintains documents from departments as instructed
    • Creates new records as necessary
    • Find and retrieve information from files in response to requests from authorised users
    • Tracks materials removed from files in order to ensure that borrowed files are returned
    • Performs administrative support tasks such as:
      • attending meetings to record minutes
      • Create minutes from recording
      • Processes and prepares memos, correspondences or other documents
      • Handling basic bookkeeping tasks – specific to
      • Filing and retrieving corporate records, documents and reports
      • Assist with scheduling of all internal meetings
      • Using various software, including word processing, spreadsheets, databases and presentation software
      • Provide general administrative support

 

EDUCATION, TRAINING & WORK EXPERIENCE REQUIRED:

 

  • Bachelor of Business Administration or comparable qualification.
  • Excellent human relations and interpersonal skills

  • Minimum of two   years’ work experience in related field
  • Knowledge of appropriate software including: Microsoft Word, Excel, and outlook, Microsoft PowerPoint and Adobe Acrobat
  • Proven experience as an Administrative assistant or other relevant administrative support experience
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communication skills.
