Our client is seeking a highly organized, reliable, and proactive Administrative Assistant to support the Director in day-to-day operations. The ideal candidate will be a strong multitasker, skilled problem-solver, and effective communicator who can manage a variety of administrative tasks with professionalism and discretion.
Location: St. Augustine
Environment: Can be considered industrial
Duration: Permanent with a probationary period
Working Days & Hours: 8am – 4pm, Monday – Friday
8am - 4pm every other Saturday
Salary: $7,500 (slightly negotiable based on experience)
Key Responsibilities:
Manage the calendar, schedule meetings, and coordinate appointments
Prepare reports, presentations, correspondence, and other documents as needed
Screen and prioritize emails, calls, and requests to ensure timely responses
Arrange travel logistics, accommodations, and itineraries
Maintain organized filing systems and confidential records
Serve as a liaison between the Director and internal/external stakeholders
Assist in tracking projects, deadlines, and follow-up items
Anticipate the Director’s needs and take initiative to resolve issues
Support planning and coordination of events or meetings
Perform general office duties such as ordering supplies, processing invoices, and maintaining databases
Requirements:
Proven experience in an administrative support role
Strong multitasking and time-management skills
Excellent communication, organizational, and interpersonal skills
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
High level of confidentiality and discretion
Ability to work independently and handle changing priorities
