The Administrative Assistant is expected to greet, receive and direct clients in a timely manner; and performs routine clerical and administrative functions such as scheduling appointments, organizing and maintaining paper and electronic files, or providing information to individuals.

DUTIES AND RESPONSIBILITIES:

  1. Provides exceptional customer service to internal and external customers daily.
  2. Greet and assist all patients in a warm, welcoming and positive manner providing them with information they may require to get the best possible service.
  3. Ensures efficiency and patient satisfaction are met regarding appointment times.
  4. Responds to telephone calls e.g. appointments, patients’ enquiries, in-house enquiries.
  5. Perform Billing duties for patients and companies on a daily basis.
  6. Maintains registers of patients on a monthly basis.
  7. Files patient’s reports, bills and other related documents.
  8. Follows up on short-term credits as needed.
  9. Liaises with insurance companies regarding patient’s coverage and approval for billing.
  10. Perform other related duties as required. 

KNOWLEDGE, SKILLS AND ABILITIES

KNOWLEDGE:

 

  • Knowledge of office practice and procedures.
  • Knowledge of filing and preparation of invoices, receipts and bills.

SKILLS AND ABILITIES:

 

 

 

 

  • Must be customer service oriented.
  • Ability to document and communicate effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with internal/external partners.
  • Ability to think creatively and to demonstrate flexibility.
  • Ability to work effectively under stress, to prioritize, multi- task within tight deadlines and respond to changing demands.
  • Ability to use initiative and pay close attention to detail.
  • Ability to demonstrate integrity and maintain confidentiality.

MINIMUM EXPERIENCE AND TRAINING:

  • Minimum 5 O’ level passes inclusive of Mathematics and English Language.
  • Proficient in Microsoft Office Suite.
  • Customer service training an asset.
  • At least two (2) years’ work experience in a similar position.

OTHER:

  • Must be able to work a shift system, weekends and public holidays.
