Continental Baking Company Limited is seeking an Administrative Assistant to support the effective and efficient management and operations of its Bun Plant.

The successful candidate will play a key role in ensuring smooth operational workflows through strong coordination, communication and administrative support.

Core Functions

  • Manage inventory by tracking raw materials, packaging and finished goods; monitor usage, reorder supplies and follow up on deliveries to prevent stock-outs.
  • Track weekly orders; update and distribute shipping and finished goods movement reports.
  • Input, analyse and reconcile production data; submit accurate reports to the respective manager and Accounting department representative, in a timely manner.
  • Prepare production reports thoroughly and within deadline for management review.
  • Provide administrative support to the Plant Manager, including managing emails and correspondence, scheduling meetings and appointments, taking and distributing minutes, overseeing records management systems (digital and physical), preparing cheque requisitions, maintaining monthly credit card spreadsheets and assisting with supplier payments.
  • Coordinate and track plant-related projects; support inspections conducted by regulatory and legal entities.
  • Liaise with the Human Resources department to prepare and submit preliminary contract break schedules and support other HR-related processes and requirements.
  • Ensure compliance with all safety (food and physical), quality, environmental, and regulatory standards and protocols.

Minimum Requirement: Education, Knowledge, Skills and Abilities

  • Diploma in Management Studies, Business Administration or any other related area of discipline.
  • Minimum of three (3) years’ experience in an Administrative role or similar role in production.
  • Proficiency in the use of Microsoft Office Suite in particular MS Word, MS Excel and MS PowerPoint.
  • Strong organizational and multitasking abilities, with the ability to work efficiently in a fast-paced environment.
  • Knowledge of Good Manufacturing Practices (GMP) and other manufacturing standards.
  • Experience in inventory management and operations management would be an asset.
  • Excellent human relations, communication, time management, organizational, critical thinking and problem solving skills.
  • Highly professional, ethical and of integrity.
  • Ability to multitask and work efficiently in a fast-paced environment.
  • Required to work on weekends and public holidays, to meet operational demands.
