CAGE (St. Kitts-Nevis) Ltd., is seeking a suitably qualified candidate to fill the position of Administrative Assistant/Receptionist, according to the following criteria:

 

Job Summary:

Assist management personnel with day-to-day secretarial, administrative, and clerical duties.                                          Greet and directs visitors. Dispatch route personnel to CAGE Venue and Agent locations and maintain an activity database. Maintains and supports effective staff and customer relationships.

Qualifications & Experience:

  • Management Diploma (BIMAP, UWI or other recognized institution), or
  • Associate Degree in Management.
  • Professional secretarial/administrative assistant accreditation.
  • Certification in Microsoft Office suite from recognized institution.
  • A minimum of five (5) years’ experience in a similar capacity.

 Special Job Skills & Knowledge Requirements:

  • Excellent phone skills which include prompt, courteous and efficient handling of calls.
  • Excellent command of the English language (bilingual ability in Spanish would be an asset).
  • Possesses the ability to listen, hear, and write at the same time.
  • Possesses knowledge of the layout of the city and the route locations.
  • Professional secretarial skills.
  • Proficiency in use of various computer software applications (Microsoft Office suite, courier software – airway bill invoicing, tracking, etc.).
  • Report writing and presentation skills.
  • Excellent Customer Service.
  • Sound verbal, written and listening communications.
  • Effective time management.
  • Ability to maintain confidentiality.
  • Ability to work independently.

 Essential Duties and Responsibilities:

  • Assist the Human Resources Manager in the recruitment process: preparing and disseminating vacancy announcements, scheduling interviews, processing and orienting new hires.
  • Provide general clerical and administrative support to the Human Resources Manager in the preparation of correspondence, reports, policy documents and file maintenance.
  • Makes travel, hotel and other reservations as required.
  • Schedule meetings and informs participants as required.
  • Provide assistance to departmental managers with planning and administering conferences, seminars, etc.
  • Answer dispatch and main office telephones and handle calls according to departmental procedures.
  •  Communicate and respond appropriately to effectively deliver a high level of service to customers,
  • Maintain a daily database with all services calls, including location, Technician assigned, type of problem, time of call, time of dispatch, arrival time of Technician and duration of visit. 
  • Maintain a daily database of preventative maintenance schedules.
  • Track activity of all route personnel throughout their shift.
  • Understands and remembers all procedure and location changes.
  • Serves as CAGE representative in dealing with route locations; refers all complaints to the General Manager or designee that may arise other than the normal circumstances.
  • Perform other related duties as required, to ensure or facilitate the effective and efficient operations of the company.
