The Accounts Receivable and Admin Supervisor is responsible for overseeing the day-to-day operations of the accounts receivable function and administrative activities within the organization.

Job Summary:

The Accounts Receivable and Admin Supervisor is responsible for overseeing the day-to-day operations of the accounts receivable function and administrative activities within the organization. This role ensures timely collection of payments, accurate record-keeping, and efficient office administration while supervising the accounts and administrative team to achieve departmental goals.


Key Responsibilities:

Accounts Receivable:

  • Supervise and manage the accounts receivable team, ensuring timely invoicing, collection, and reconciliation of customer accounts.
  • Monitor outstanding receivables, follow up on overdue payments, and implement effective collection strategies to minimize bad debts.
  • Review and approve credit applications, payment plans, and customer account adjustments.
  • Prepare and analyze aging reports, cash receipts, and related financial reports for management review.
  • Collaborate with sales and customer service teams to resolve payment disputes and improve customer relations.
  • Ensure compliance with company policies and accounting standards in all receivables activities.
  • Assist with month-end and year-end closing processes related to accounts receivable.

Administration:

  • Oversee daily office administrative functions to ensure smooth operations and a productive work environment.
  • Supervise administrative staff, manage schedules, and delegate tasks efficiently.
  • Maintain accurate administrative records, office supplies, and equipment.
  • Coordinate communication between departments, external vendors, and clients.
  • Support preparation of reports, correspondence, and documentation as required.
  • Implement and maintain office policies and procedures.
  • Assist with HR administrative tasks such as onboarding, leave tracking, and maintaining employee records.

Qualifications:

  • Diploma or Degree in Accounting, Business Administration, Finance, or related field.
  • Professional certification such as ACCA, CPA, or equivalent is an advantage.
  • Minimum 3-5 years of experience in accounts receivable and office administration, with at least 2 years in a supervisory role.
  • Strong knowledge of accounting principles, receivables management, and office administration.
  • Proficient in accounting software (e.g., QuickBooks, Peachtree) and Microsoft Office Suite.
  • Excellent organizational, leadership, and communication skills.
  • Ability to handle multiple tasks, prioritize work, and meet deadlines.
  • Detail-oriented with strong analytical and problem-solving skills.
  • Ability to maintain confidentiality and exercise discretion.
