We are looking for an AP Staff Accountant to join our team. This role owns end‑to‑end accounts payable, vendor onboarding, and payment processing while supporting month‑end close, fixed assets, and internal controls in a fast‑paced, NetSuite‑driven environment.

Role Overview:
The Accounts Payable Staff Accountant is responsible for the end-to-end accounts payable process, ensuring accurate vendor onboarding, timely bill processing, proper expense coding, and compliant payment execution.
This role plays a critical part in maintaining strong internal controls, supporting month-end close, and ensuring vendor compliance (including 1099 reporting). The ideal candidate is detail-oriented, process-driven, and comfortable working in NetSuite within a fast-paced, growing environment.
This is a hands-on individual contributor role with meaningful impact on financial accuracy and operational efficiency.
Key Responsibilities:
Accounts Payable Operations
- Process vendor bills in NetSuite (including bill capture workflows) with accurate coding to department, project, and GL accounts.
- Manage vendor bill approvals, ensuring proper documentation and compliance with company policies.
- Prepare and execute vendor payments (ACH, wire, check) in accordance with payment terms.
- Process and reconcile corporate credit card transactions and payments.
- Respond to vendor inquiries and resolve discrepancies in a timely manner.
Vendor Onboarding & Compliance
- Manage vendor onboarding process, including W-9 collection and vendor setup in NetSuite.
- Ensure proper documentation and internal approval prior to vendor activation.
- Maintain vendor master data integrity and internal controls.
- Support annual 1099 preparation and filing, ensuring accuracy and compliance.
Fixed Assets & Prepaids
- Record and track fixed asset additions in NetSuite.
- Maintain the fixed asset register and ensure proper classification and capitalization.
- Prepare and post monthly depreciation entries.
- Track and reconcile prepaid expenses, ensuring appropriate amortization schedules in NetSuite.
- Perform monthly reconciliations for prepaid and fixed asset accounts.
Month-End Close & Controls
- Support monthly close process for AP-related accounts and accruals.
- Prepare account reconciliations and supporting schedules.
- Assist with audit requests related to AP, vendor documentation, and fixed assets.
- Identify and implement process improvements to increase efficiency and strengthen controls.
Qualifications & Experience:
- Bachelor’s Degree in Accounting, Finance or a related field
- 2–5 years of experience in accounts payable or general accounting.
- Experience working in NetSuite (preferred), including bill entry and vendor management.
- Experience managing vendor onboarding and 1099 compliance.
- Familiarity with fixed asset accounting and prepaid expense amortization.
- Strong understanding of basic IFRS/GAAP principles related to AP and accrual accounting.
- High attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to manage multiple priorities in a fast-paced environment.
