Job Summary

The Accounting Officer – Receivables is responsible for ensuring that R. A. Williams Distributors receives payments for products sold to customers and for providing financial, administrative and clerical services. The duties include ensuring accuracy and efficiency of operations, processing and monitoring incoming payments, and securing revenue by verifying and posting receipts.

  •  Primary Job Functions
    • Ensure timely collection of monies due to the organization.
    • Posts customer payments by recording cash, checks, direct deposits, and credit card transactions.
    • Monitor and report on deviations from credit standards.
    • Conduct credit checks on all customers, monitor and manage credit limits.
    • Reconcile customers’ accounts.
    • Investigate customers’ issues concerning outstanding invoices, etc.
    • Apply payments to customers’ accounts.
    • Conduct regular audits of customer accounts to maintain accuracy and address potential issues.
    • Monitor COD customers’ payments and ensure they are correct
    • Monitor credit customers’ accounts to ensure they are in line with the agreed credit terms
    • Prepare reports of collections for sales representatives when requested.
    • Proactively contacting both sales representatives and customers to address overdue accounts, ensuring timely follow-up to secure payments.
    • Generate and check aged receivables listings and to make contact with sales representatives and customers for payment.
    • Update customers’ account statuses (credit limits, putting/releasing accounts on hold)
    • Any other duties that may be assigned are relevant to ensuring efficient and viable operations of the company.

Education/Training/Experience

  • Bachelor’s degree in Accounting, Business Administration or Finance.
  • 1-2 years’ experience in a similar position
  • Knowledge of general accounting principles necessary for accurate record-keeping.
  • Proven ability to calculate, post and manage accounting figures and financial records

Skills

  • Working knowledge of financial and accounting software
  • Strong understanding of accounting principles and financial reporting standards
  • Proficient in Microsoft Office Suite, particularly Excel, Word, PowerPoint, and Outlook
  • Excellent time management, with the ability to multitask, prioritize, and meet deadlines.
  • Strong verbal and written communication skills, with attention to clarity and accuracy
