The accounting Officer is responsible for Accounts Receivables, Payables and Financial Reconciliation. They ensure accuracy in financial records, process payments, and collaborate with various internal and external stakeholders.

Reports To:                         Administrative and Accounting Manager

Supervises:                         Indirect Supervision – Sales and Customer Service Representative

Works Closely With:         Account Executives/Customer Service

Major Areas of Responsibility

  • Accounts Receivables and Payables
  • Verify the accuracy of invoices and accounting records.
  • Prepare and update raw material and product costings
  • Prepare Inventory Updates
  • Process clearance charges
  • Any other duties as assigned

Specific Responsibilities of the Job:

ACCOUNTS

  • Receive, Reconcile and Post daily collections to Accounting Software
  • Prepare lodgements
  • Prepare payroll supporting documents
  • Post all expense invoices
  • Check and process all accounts payable invoices, reconcile against actual purchase orders, post and prepare payments;
  • Monitor A/R Aging summary
  • Provide Credit Control checks for customers
  • Check cash and credit invoices for accuracy
  • Do costing of both raw materials and finished products
  • Prepare product costing sheet for all inventory items and submit for approval and price adjustment
  • Update and Issue approved price Listing
  • Prepare supplier reconciliation for all major suppliers
  • Prepare clearance charges in a timely manner
  • Prepare all pre-payments
  • Follow up on detention deposits and refunds;
  • Monitor bank and credit card accounts; ensure limits are not exceeded and that lodgements are posted accurately, examine for fraudulent activity.
  • Purchase US$ requirements as per directive of Senior Accounting Officer or Administrative and Accounting Manager
  • Write receipts for cash payments
  • Maintain and file relevant department documents
  • Provide dotted line guidance to Sales & Customer Service Representatives
  • Prepare periodic renewals eg. vehicle documents and TCC

INVENTORY

  • Generate biweekly inventory variance reports and average usage reports
  • Conduct Stock Counts – Quarterly and Annually

JOB SPECIFICATIONS

QUALIFICATION AND EXPERIENCE REQUIRED:

  • ACCA Diploma in Accounting or its equivalent 
  • Two (2) years experience in a similar environment.  

SPECIFIC SKILLS AND COMPETENCES REQUIRED:

  • Sound knowledge of internal controls and best practices,
  • Good inter-personal skills and ability to work well in teams.
  • Required to be able to perform multiple tasks;
  • Good oral and written communication skills
  • Being able to perform tasks with a sense of urgency

SPECIAL CONDITIONS ASSOCIATED WITH THE JOB:

  • Periodic exposure to dust, noise and irritating fumes;
  • Required to move and lift objects up to 30 lbs
  • Required as is necessary, to wear personal protective equipment (PPE) inclusive of, but not limited to, safety shoes (steel toe), respirators, hard hats, goggles, face shields, ear muffs/plugs, gloves, aprons, lab-coats.
