Accounting Officer/Cashier

                                  

 JOB PURPOSE

To provide accounting and other administrative support to the Unit, including maintaining designated schedules, assisting with Unidentified Deposits, Object classification of related expenditures relevant to the preparation of the annual Appropriation Account, and serves as relief to payables officers and cashiers.

 KEY OUTPUTS

  • Schedules such as that for Advertising Fees, Unidentified Deposits
  • Cash receipts produced
  • Lodgment slips produced
  • Revenue reports generated
  • Payment Vouchers
  • Cheque Disbursement
  • Journal Vouchers
  • Great Plains updated

 PERFORMANCE CRITERIA

  • Stipulated deadlines and quality standards are consistently met.
  • Agency policies and procedures governing receipt of revenue are adhered to
  • Timely and accurate issuance of official receipts in accordance to government financial instructions.
  • Prompt and accurate lodgments are made in accordance to Agency policies and procedures.
  • Valuables are held safely in keeping with Agency  policies and procedures
  • Complete and accurate Schedules
  • Complete and accurate object classification of related expenses
  • Accounting policies and procedures are adhered to
  • Confidentiality and integrity are exercised.

JOB RESPONSIBILITY

  • Participates in monthly analysis of expenditure records relevant to the preparation of Annual Appropriations Account
  • Maintains schedules for Unidentified Deposits, Advertising Fees, Stale Cheques and  Third-party Fees in relation to voluntary removal from Company’s Register
  • Assists in research as directed to facilitate the achievement of the Unit’s targets and/or to resolve customers’ complaints.
  • Update Great Plains with information on  new companies and  business names
  • Prepare all preliminary transactions  essential to verify payments
  • Accepts payments from customers and issue receipts according to assessment undertaken
  • Enters data from fee sheet into database
  • Assorts and dispatch en-cashed documents to the relevant units
  • Prepares lodgments for dispatch by armoured security personnel.
  • Generates reports
  • Ensures all valuables held in the safe are secured in accordance with Agency financial policies and procedures.
  • Performs other related duties as assigned from time to time by the Accountant.

 JOB DIMENSION/AUTHORITY

  • Screen cheque payments, verify identity of credit card users
  • Issue receipts
  • Prohibits access of unauthorised persons to secured areas.
  • Records updated and maintained in accordance with agency and accounting policies.

  KEY COMPETENCIES 

  • Excellent knowledge of Agency’s policies and procedures for receipts and custody of revenue
  • Working knowledge of accounting principles and practices
  • Ability to establish, organize and/or maintain records
  • Working knowledge of relevant computer applications.

  • Good ability to work under pressure
  • Detail conscious

 QUALIFICATION AND EXPERIENCE 

  • ACCA – Level 1 or
  • AAT – Level II/III or
  • Associate of Science Degree (Accounting) or
  • Government Accounting – Level 2 – Modules 1-5
  • 2 years related work experience
