Accounting Clerk

About us:

We’re a small growing advertising agency affiliate company known for bringing brands to life through powerful campaigns, digital storytelling, and results-driven ideas. We are currently seeking a reliable and detail-oriented Accounting Clerk to join our dynamic team and support our financial operations and that of our main advertising agency.

Job overview:

This role plays a critical part in managing billing and invoicing for multiple clients and campaigns, as well as handling general accounting duties such as reconciliations, reporting, and ensuring compliance with financial regulations for.

 

Key Responsibilities:

  • Accurately generate and manage client invoices based on campaign deliverables, retainers, media spend, and project milestones
  • Coordinate with account managers and project teams to ensure accurate and complete billing information
  • Track and/or monitor accounts receivables and follow up on outstanding payments in a professional manner
  • Assist with accounts payables, process vendor invoices, and act as a relief to ensure timely disbursements when required
  • Ensure accuracy and efficacy of vendor invoices
  • Reconcile client and vendor accounts regularly to ensure accuracy
  • Maintain detailed and organized billing records for multiple clients and projects
  • Support revenue recognition processes in line with processing periods, contract terms, service delivery and project management system
  • Assist in the preparation of  monthly, quarterly, and annual financial statements and internal reports
  • Assist in the preparation of campaign budgets and cost reports
  • Ensure compliance with financial policies, advertising industry standards, and applicable tax regulations
  • Provide assistance in liaising with external auditors and provide necessary documentation during audits
  • Maintain an organized digital and physical filing system for financial documentation
  • Related additional accounting duties/responsibilities when the need arise.

 

Qualifications & Requirements:

  • Bachelor’s degree in Accounting, Finance, or ACCA Level II 
  • 2–5 years of accounting experience
  • Professional certification (e.g., CPA, ACCA) would be an advantage
  • Proficiency in accounting and billing software (e.g., QuickBooks, AccountEdge, Xero, or ERP systems)
  • Advanced Excel skills with the ability to manage large volumes of data would be an asset
  • Strong attention to detail and accuracy in handling financial transactions and record keeping
  • Excellent communication and interpersonal skills, especially when dealing with creative teams, account executives and client and supplier inquiries.
  • Ability to manage multiple deadlines in a fast-paced, dynamic environment.

Preferred Attributes:       

  • Familiarity with industry-specific tools like ClickUp, AccountEdge (finance software)
  • Strong organizational skills and a collaborative, solution-oriented attitude is necessary.
