The Accounting Assistant – Payroll supports the accurate and timely processing of payroll while also providing broader accounting support across the Finance function, including accounts payable, accounts receivable, general ledger maintenance, and inventory accounting.

SUMMARY OF JOB: The Accounting Assistant – Payroll supports the accurate and timely processing of payroll while also providing broader accounting support across the Finance function, including accounts payable, accounts receivable, general ledger maintenance, and inventory accounting. The role contributes to the completeness, accuracy, and compliance of financial records and is especially valuable within a manufacturing environment where inventory and cost tracking play a key role

KEY RESPONSIBILITIES:

Payroll Processing & Administration

  • Prepare and process payroll for all company employees in an accurate and timely manner.
  • Ensure salaries, wages, advances, and related payments are made on schedule.
  • Maintain and update the Payroll Master File, ensuring employee records are current and accurate.
  • Update tax tables and payroll parameters annually or as required by legislation.

Statutory Compliance & Reporting

  • Ensure full compliance with PAYE, NIS, and all other statutory payroll laws.
  • Produce and submit all required payroll statutory reports within prescribed timelines.
  • Maintain accurate payroll documentation to support audits and regulatory reviews.

Accounting & Financial Support

  • Post payroll transactions to the General Ledger accurately and on time.
  • Manage staff receivables by monitoring the “Due from Employees/Directors” accounts and applying required deductions.
  • Reconcile staff receivables with payroll records to ensure accuracy and completeness.
  • Assist with elementary financial analysis and preparation of accounting schedules as required.
  • Management of health and pension plan billings and journal entries
  • Preparation of supporting schedules and reports for year-end audit
  • Accounts Payable support, including reports and schedule reconciliations related to benefits and payroll costs
  • Prepare journal entries for month-end and year-end close processes and support balance sheet reconciliation activities.
  • Maintain accurate financial records in accordance with internal controls, audit requirements, and accounting standards.

Inventory Accounting

  • Support inventory reconciliation activities, including matching physical counts to system balances.
  • Assist with costing updates, BOM (Bill of Materials) accuracy checks, and validating inventory movements.
  • Monitor and reconcile raw materials, WIP (work in progress), and finished goods inventory within the ERP/General Ledger.
  • Investigate inventory variances in collaboration with Production, Warehouse, and Procurement teams.
  • Assist with preparation of manufacturing cost reports and margin analysis where required.

Reporting & Administrative Support

  • Prepare accurate and timely payroll and financial reports for management review.
  • Assist with the collection of customer debts when required.
  • Support cross-training initiatives to ensure continuity of payroll and accounting functions.

Degree/Diploma and major if applicable:      

  • ACCA Level 1 or equivalent qualification or related field.
  • Experience or coursework in cost accounting or manufacturing accounting is considered a strong asset.

Required hands-on, technical or other types of training to perform the job:

  • Practical, hands-on training in payroll processing systems and payroll workflows.
  • Training in PAYE, NIS, and other applicable statutory payroll requirements.
  • On-the-job training in posting payroll journals and reconciliations within the General Ledger.
  • ERP/Payroll system training.
  • Training in internal controls, audit preparation, and payroll documentation standards.
  • Training or practical experience in inventory valuation, stock reconciliation, or manufacturing inventory workflows is an asset.
  • Minimum of three (3) years’ experience in an accounting function, preferably in payroll.
  • Experience in manufacturing accounting, inventory management systems, or cost accounting is a strong advantage.
