The Accounting Assistant is responsible for supporting the Finance Department through the execution of administrative and accounts receivable functions, including payment processing, invoice tracking, and customer account maintenance.

ACCOUNTING ASSISTANT

 I.             Job Summary

 The Accounting Assistant is responsible for supporting the Finance Department through the execution of administrative and accounts receivable functions, including payment processing, invoice tracking, and customer account maintenance, to ensure accurate, timely, and efficient financial operations.

The role requires a proactive and detail-oriented individual who can work independently while following established directives and contributing effectively as part of a team. Strong time-management and organizational skills, along with the ability to comply with company policies, procedures, and internal controls.

 II.           Job Duties

  • Enter payment information of returned copies of invoices in the database as a means of verification that collection was carried out for Cash on Delivery (COD) customers.
  • Update delivery status for the returned copies of invoices for credit customers.
  • Check the database to see if all the returned copies of invoices are accounted for per each driver checked off daily.
  • Follow up with the relevant delivery personnel to know the status of outstanding invoices and/or packages
  • Monitor Cash on Delivery accounts to ensure payments are made daily and follow up for any outstanding Invoices.
  • Complete Audit Confirmation Letters.
  • Assist with audit schedules
  • Respond to customer calls and provide accurate information and assistance as required
  • Investigate customer issues concerning outstanding Invoices for Cash on Delivery (COD) Accounts.
  • Assist with preparation of customers’ monthly statements.
  • Receive cash and/or cheques, collect from drivers, and sales representatives and sign off their correspondence receipt books
  • Ensure payments to customers’ accounts, especially Cash on Delivery (COD) customers make correct payment for goods delivered
  • Post customer payments by recording cash, cheques, and Point of Sale (debit/credit cards) transactions
  • Register payments collected, matching them to the relevant invoices and batching group deposits in the system per accounts collected
  • Prepare in-house deposits to the respective banks, ensuring that a copy of the relevant receipts, cheques and deposit slips are retained as supporting documents
  • Assist with account queries
  • Complete daily dispatch log sheets
  • Any other duties that may be assigned that is relevant to ensuring efficient and viable operations of the company.

 III.          Education/Training/Experience

  • Diploma in Accounting, Business Administration or Equivalent.
  • Proficiency in Microsoft Office Suite
  • Knowledge of General Office equipment
  • 1-2 years’ work experience
