Accounting Assistant

Summary:          

The Accounting Assistant is responsible for providing essential support to the Finance Division in the execution of its objectives and overall mandate. The incumbent is required to perform daily accounting functions to ensure the accurate and timely recording of all customer payables. Key responsibilities include the preparation and reconciliation of vendor accounts, updating of financial spreadsheets, and the prompt resolution of accounting queries and incident reports to maintain the integrity and efficiency of financial operations.

Education, Knowledge and Experience

  • Pursuing ABE/CAT/ACCA I/CIMA/CMA/CPA.
  • Basic knowledge of accounting principles.
  • Basic knowledge of State Financial Regulations.
  • Working knowledge of an organization’s chart of accounts.
  • Proficient in using advanced Microsoft office suite skills for data analysis.
  • Excellent analytical, problem-solving, and organizational skills.
  • Detail-oriented with a high degree of accuracy in work.
  • Effective communication and interpersonal skills to collaborate across departments.
  • Ability to work independently, manage priorities, and meet deadlines in a fast-paced environment.
  • Strong interpersonal skills with proven ability to work in a team.
  • Process oriented with high standards of professionalism and integrity.
  • Strong organizational and implementation skills.
  • Must exhibit strong sense of detail and computational accuracy.
  • Must have excellent verbal and written communication skills to interact with vendors/contractors and customers.
  • A minimum of two (2) years’ performing similar functions, preferably in a government or state enterprise.

Any equivalent combination of qualifications, training and work experience will be given consideration.

 

 Key Functions and Accountabilities:

 

Projects

  • Inputs Invoices, credit notes & apply payments received for Project Request for Funds (RFF).
  • Maintains excel listing of Project (RFF).
  • Reconciles and report on Project (RFF).
  • Assists with internal and external queries for Project (RFF).
  • Prepare Journals and assists with audit queries when necessary.
  • Scans and copy incoming payment certificate together with scan.
  • Assists with audit support as necessary.
  • Work with the accounting assistant – accounts receivable and others to resolve account issues when necessary.
  • Assists with internal and external queries for Project (RFF) portfolio.
  • Assist with any queries requested by Management.

Other

  • Assists in the maintenance in the monthly audit file.
  • Assists in the preparation of schedules for year-end audits.
  • Any other related duties as may be assigned.

The Office holder will be recruited on a contractual basis.
