ACCOUNTING AND ADMINISTRATIVE OFFICER

Job Summary

The Accounting and Administrative Officer is responsible for maintaining accurate financial records, assisting with payroll, managing accounts payable/receivable, and overseeing general office administrative duties. This role ensures compliance with financial regulations and supports efficient daily operations. 

Key Responsibilities

  • Accounting & Finance (70%)
    • Post and process journal entries to ensure all business transactions are recorded.
    • Maintain and update accounts receivable and payable, including invoicing and payment collection.
    • Reconcile bank accounts, credit cards, and general ledger accounts monthly.
    • Assist with payroll processing, tax filings, and preparing monthly, quarterly and annual financial statements and profit/loss reports.
    • Manage petty cash and expense claims, ensuring compliance with organizational policies.
    • Assist with preparing audit schedules and serve as a point contact for internal or external auditors.
  • Administration (30%)
    • Manage office operations, including ordering supplies, maintaining equipment, and handling mail.
    • Organize and maintain digital and physical filing systems for administrative and financial documents.
    • Liaise with vendors, service providers, and clients.
    • Schedule meetings, take minutes, and assist with travel arrangements, where necessary.

Required Qualifications & Skills

  • Bachelor’s degree in Accounting, Finance or  Business Administration.
  • ACCA Level 1 will be an asset.
  • At least three (3) years working experience as an Accounting/Administrative Officer or similar role.
  • Solid knowledge of basic bookkeeping and accounting principles (double-entry).
  • Proficiency in Microsoft Excel and accounting software (QuickBooks preferred).
  • Strong knowledge of Jamaican accounting principles and tax regulations (GOJ guidelines)
  • Strong organizational skills and high attention to detail and excellent communication skills.
