Accounting Administrative Assistant

A food manufacturing company in Manchester, Jaimaica is seeking a detail-oriented and highly organized Accounting Administrative Assistant to support both accounting functions and day-to-day administrative operations. This role is ideal for a proactive individual who can manage multiple responsibilities while maintaining accuracy and efficiency.

Key Responsibilities:

Accounting
• Assist with accounts payable and receivable processes
• Prepare and issue sales invoices and communicate with customers
• Verify incoming invoices and support supplier payments
• Assist with cheque preparation, purchase orders, and bank transfers
• Perform data entry and assist with preparation of financial reports
• Support weekly payroll processing and distribution of payslips
• Manage petty cash distribution and reconciliation
• Assist with tax-related tasks and statutory requirements
• Support preparation of monthly and annual financial reports

Administrative
• Provide general administrative support including answering calls, filing, scanning, and email correspondence
• Schedule meetings and manage appointments
• Monitor and respond to emails sent to the company’s general inbox
• Support the Business Manager with raw material imports, and supplier and distributor coordination
• Track and monitor renewal dates for licenses and certificates from regulatory and food safety authorities
• Prepare and submit applications for permits and regulatory renewals
• Perform other related accounting and administrative duties as required

Qualifications and Experience:
• Bachelor’s degree in Accounting or a related field

OR

• Associate degree in Accounting with ACCA Level 1
• Previous experience in an accounting and administrative role
• Proficiency in Microsoft Office Suite and accounting software such as QuickBooks

Skills and Competencies:
• Strong attention to detail and organizational skills
• Excellent time management and problem-solving ability
• Strong written and verbal communication skills
• Ability to work independently and collaboratively within a team
• High level of professionalism and initiative
