The Western Regional Health Authority (a Statutory Body under the Ministry of Health and Wellness) is currently seeking to employ an ADMINISTRATOR- CORPORATE SERVICES for the Regional Office.

Salary Scale: $2,803,771.00 - $3,770,761.00 per annum

 

The Administrator - Corporate Services will provide technical and administrative support to the Senior Director of Corporate Services by managing schedules, coordinating meetings, preparing documents and reports, and maintaining efficient office operations.

 

CORE RESPONSIBILITIES:

  • Manages the Senior Director’s calendar, schedules meetings, appointments and events
  • Coordinates meeting logistics including venues, equipment, refreshments and documentation
  • Logs, dispatches and tracks incoming /outgoing mail and correspondence
  • Serves as the first point of contact for internal and external communications on behalf of the Senior Director
  • Assists with the development and implementation of systems, procedures and operation guidelines for the control of all Corporate Services departments
  • Liaises with direct reports of the Senior Director-Corporate Services on matters pertaining to compiling reports, meeting materials for circulation and critical projects and implementation
  • Assists with coordinating the submission and review of individual work plans and performance evaluation review sessions for the Senior Director-Corporate Services direct reports
  • Assists with the preparation and implementation of operational plans, procurement plans and budgets
  • Liaises with direct reports of the Senior Director-Corporate Services on matters pertaining to performance status reports
  • Assists with the preparation of the Quarterly and Annual Reports for the Unit under the supervision of the Senior Director and in collaboration with the respective Managers
  • Assists with the delivery of efficient corporate services across all divisions
  • Assists with coordination of responses to audit queries pertaining to Corporate Services
  • Assists with researching and providing information to facilitate the preparation of critical reports
  • Liaises with the Regional Health Authorities, other governmental/non-governmental organizations and private agencies as required on behalf of the Senior Director
  • Prepares, communicates and manages the annual performance management review schedule for the Senior Director-Corporate Service’s direct reports
  • Maintains a system to control and safeguard confidential documents, files and reports

 

SPECIFIC KNOWLEDGE/SKILLS REQUIRED:

 

  • Extensive knowledge of the Government of Jamaica (GOJ) Public Procurement Act and Regulation
  • Ability to understand and interpret contractual agreements
  • Working knowledge of basic accounting/mathematical principles
  • Advanced knowledge of Microsoft suite applications such as Word, PowerPoint and Excel
  • Excellent knowledge and skills in report writing
  • Sound knowledge of record keeping and records/file management techniques
  • Sound knowledge of office management practices and principles

 

SPECIFIC CONDITIONS ASSOCIATED WITH THE JOB:

 

  • May be required to work beyond normal working hours and on weekends and holidays
  • Exposure to highly confidential and sensitive information
  • May be required to travel within and outside of the Region

 

QUALIFICATION & EXPERIENCE:

 

  • Bachelor's Degree in Business Administration / Management or its equivalent
  • A minimum of one (1) year working experience in a related capacity

OR

  • Associate  Degree in Business Administration or CAM Level 4
  • A minimum of three (3) years working experience in a related capacity
