ACCOUNTING/ADMINISTRATIVE OFFICER

Boss Furniture Company Limited, the leading furniture manufacturer in the Caribbean, is seeking to identify an Accounting/Administrative Officer to join our team.  This individual must exhibit knowledge of general accounting/financial practices and procedures, and will be responsible for the accurate and timely preparation and processing of:

Key Duties and Responsibilities:  

  • Prepare Delivery slips and invoices for customers
  • Apply payment to customers’ account once received
  • Enter information such as bank charges, direct deposits, and standing orders into the system to facilitate bank reconciliation
  • Prepare cheques
  • Write Bin Cards for key accounts once per month
  • Generate monthly sales journal
  • File all delivery slips with invoices for customers
  • Prepare quotes, deliveries, and enter invoices on system for Key Account Sales Executives
  • Follow-up with receivables due for key accounts assigned
  • Assist with payroll as needed
  • Print pay slips
  • Prepare and dispatch work orders received from customers
  • Answer phones as needed to relieve telephone operator
  • Prepare pro-forma invoices for customers as requested
  • Post all cheques to invoices being paid
  • Handle all health insurance requests and claims
  • Prepare employee job letters and recommendations as needed
  • Annual update of Jamaica Customs Approved Economic Operator (AEO) Employee Personal Details Record Form
  • Maintain current employee ID’s
  • Any other task as may be assigned by management

Qualifications/ Specialized Skills/ Competencies:

  • Minimum associate’s degree in finance/business administration/accounting or relevant certification
  • At least 2 years accounting experience
  • Familiarity with bookkeeping and basic accounting procedures
  • High degree of accuracy and attention to detail
  • Aptitude for numbers
  • Ability to perform filing and record keeping tasks
  • Maintains a high level of professionalism and confidentiality
  • Superior interpersonal and communication skills
  • Customer service orientation
  • Data entry and Word Processing skills
  • The ability to use Microsoft Excel to build graphs, track sales data, and track purchase orders.
  • Experience using Microsoft Word to write documents and emails. 
  • Comprehensive understanding and experience with Peachtree software would be a distinct advantage.
