specialized Legal Secretary to undertake a variety of administrative and clerical tasks

THIS POSITION IS OPEN ONLY TO NATIONALS OF TRINIDAD AND TOBAGO AND THOSE HOLDING VALID AUTHORIZATION TO WORK IN THE COUNTRY. MUST BE LIVING IN THE COUNTRY AT THE PRESENT TIME.

 

Our client located in Port of Spain, Trinidad is seeking to fill the position of a Specialized Legal Secretary 

 

SALARY: $7,5000.00 to $10,000.00 per month

 

Responsibilities

Provide administrative support to one or more lawyers such as assisting in planning appointments, board meetings, conferences etc.

Maintaining up to date electronic and written diary systems

  • ·         Preserve an updated case record system Handle and prioritize all outgoing or incoming correspondence (Court papers, e-mail, letters, packages etc.)

Maintain electronic and paper records ensuring information is organized and easily accessible

  • ·         Effectively communicate with witnesses, clients and colleagues
  • ·         Greet visitors and perform initial screening of clients
  • ·         Attend trials and type minutes as may be required
  • ·         File various legal documents such as pleadings, appeals and applications when required
  • ·         Answer and screen phone calls, take notes/messages and redirect calls when appropriate
  • ·         Maintain and update inventories of contact details
  • ·         Facilitate the meeting of deadlines by keeping multiple agendas and provide timely reminders

Make travel arrangements for attorneys

Handle confidential documents ensuring they remain secure

Prepare invoices and provide assistance in bookkeeping

Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders

 

Requirements

  • ·         Current license to drive automatic vehicle
  • ·         Proficient in MS Office and ability to work with legal technology (court-filing computer systems, transcription software, dictaphone etc)
  • ·         Proficiency in English
  • ·         Outstanding time-management and typing skills
  • ·         Ability to multitask and being comfortable dealing with a diverse pool of people

Excellent organizational and time-management skills

Integrity and confidentiality

Proven experience as a legal secretary is a plus

Knowledge of legal terminology and court system is a plus

  • ·         Working knowledge of litigation management software systems is a plus
