Position Title: Bid Coordinator

Position Summary:

We are seeking a highly motivated and detail-oriented individual to join our team as a Bidder. As a Bidder, you will play a crucial role in the organization by leading the process of bidding for projects and contracts. Your primary responsibility will be to prepare and submit competitive bids to secure new business opportunities. The ideal candidate should have excellent communication and negotiation skills, a deep understanding of the industry, and the ability to collaborate with various stakeholders.

Responsibilities:

  • Identifying opportunities for bid submissions and raising them with the bid management team via market research
  • Analyze client requirements and provide appropriate bidding solutions.
  • Estimate the project price based on the requirements gathered.
  • Explore and develop new business opportunities and understand client's requirement and acquisition.
  • Analyze industry trends, competitor activities, and market demands to stay informed about the competitive landscape.
  • Collaborate with cross-functional teams to gather information for bid proposals.
  • Prepare comprehensive and compelling bid documents, ensuring they align with client requirements and company capabilities.
  • Develop detailed cost estimates and pricing strategies for bids.
  • Maintain effective communication with clients, partners, and internal teams throughout the bidding process.
  • Address client inquiries and provide timely responses to clarify any bid-related details.
  • Engage in negotiations with clients to finalize contract terms and conditions.
  • Cultivate and maintain strong relationships with clients, subcontractors, and other stakeholders.
  • Attending industry events and networking functions to expand the company's network and identify potential opportunities.
  • Keep detailed records of all bidding activities, including proposals, contracts, and communication logs.
  • Ensure that all documentation complies with organizational and regulatory standards.
  • Collaborate with the management team to develop long-term bidding strategies aligned with the company's goals and objectives.
  • Stay abreast of industry best practices and incorporate feedback from previous bids to continuously improve the bidding process.

Required skills and qualifications.

  • Bachelor’s degree in business administration or a related field.
  • 4+ years of experience working with or overseeing bids, proposals, contracts, or tenders.
  • Experience in managing bids for complex projects or large-scale contracts.
  • Demonstrated success in winning bids through effective proposal management.
  • Strong understanding of the bid lifecycle, proposal writing, development and contract negotiation.
  • Proficiency in using bid management software and MS Office.
  • Ability to implement budgetary and cost-control measures with solid negotiation and persuasive skills.
  • Attention to detail and high accuracy in bid preparation and review.
  • Ability to collaborate with cross-functional teams and influence stakeholders at various levels.
  • Understanding pricing strategies and financial analysis in bid development.
  • Ability to create visually appealing and engaging bid presentations.
  • Strong project management skills, with the ability to prioritize tasks, meet deadlines and manage multiple bids simultaneously.
  • Exceptional organizational and time management skills.
  • Excellent analytical and problem-solving skills to assess bid opportunities and develop winning strategies.
  • Excellent written and verbal communication skills, with the ability to present complex information clearly and persuasively
