JOB OVERVIEW: 

Communicate and enforce hotel policies to prospective wedding clients. The role includes strategic planning and managing the critical details of the wedding ceremony. Establish various task assignments, have established business contacts to secure the participation of florists, musicians, photographers and other outside suppliers. All has to be within conformance of the Department objectives and goals. Maintain an efficient wedding schedule and extras list with prices.

QUALIFICATIONS:

Essential:         

  • High School Graduate
  • Experience in Sales/ Wedding Coordinating in the Hospitality industry.
  • Familiarity with wedding packages, wedding groups, vendors, wedding activities, procedures, processes and pricing structure.
  • Ability to compute basic mathematical calculations.
  • Ability to verbally communicate clearly.
  • Ability to provide legible written communication.
  • Knowledge of the local area facilities.
  • Computer Knowledge.

SKILLS:

Essential:

  • Ability to maintain hotel’s standards, policies and procedures.
  • Ability to work under great stress.
  • Crisis management, resolving disputes quickly and fairly.
  • Ability to prioritize and organize work assignments.
  • Flexible and multi-tasked.
  • Ability to motivate, supervise and direct staff working with weddings but not necessarily of the department.
  • Ability to focus attention to details.
  • Artistic Creativity and décor planning.
  • Knowledge of Menus offered and prices for private functions.
  • Word Processing.

ESSENTIAL JOB FUNCTIONS:

  • Consultation and Interviewing of Wedding party.
  • Responsible for a picture-perfect wedding and reception.
  • Responsible for the collection of proper wedding documents for marriage license.
  • Schedule and confirmation of wedding/renewal of vows services.
  • Compile Wedding Reports.
  • Wedding policies and procedures in accordance with that of the Brand.
  • Work closely with the hotel’s Front Office/ Food and Beverage/Reservations/Sales Managers/Banqueting and Maintenance departments and Events Manager especially when there is a private reception/event.   
  • Manage the Wedding Planning efforts and supports the Director of Sales on operational issues.
  • Preparation and distribution of necessary event orders. 
  • Ability to negotiate agreement with outside providers to ensure lowest cost and highest quality service.
  • Manage and build relationships, where the wedding party has gained confidence and credibility in your work.

SECONDARY FUNCTIONS:

  • Assist with Bridal Registry.
  • Assist the Bride in getting dressed (if necessary) and escorting her from room to wedding site.
  • Assist wedding party in directing procession.
  • Assist the Minister when necessary.
  • Wedding Witness when necessary.
