Quality Control Officer

ROLE/ CORE FUNCTION OF JOB:

The Quality Officer facilitates the operations in the Microbiology and the Analytical Laboratories ensuring Good Manufacturing Practices (GMPs) and Good Laboratory Practices (GLPs).

NOTE - This position is based in Yallahs, St. Thomas.

RESPONSIBILITIES - The primary responsibilities of this position will include, but are not limited to:

  • Maintain a permanent record of all chemicals used in the manufacturing processes.
  • Ensure that a comprehensive filing system is maintained with separate files for each product showing all the related documentation and test data for each batch of product made. Any test results that deviate from specification must be reported to the Quality Assurance manager.
  • A minimum of one (1) sample from each manufactured batch must be retained in the laboratory for at least one year. In the case of Relaxers three (3) samples have to be kept representing the Top, Middle and Bottom of the batch. (Smallest possible jar to be used.)
  • Ensure that all measuring devices such as pH Meters, Thermometers, Scales, Penetrometer, Viscometers, and other relevant Laboratory Equipment are always kept clean and in good working condition. The necessary calibration for these and all scales etc. in the factory must be carried out at regular intervals and proper records kept. Certification of devices will be done at the Bureau of Standards when deemed necessary.
  •   A complete inventory of equipment, Agars and disposables for both laboratories must be maintained and replacements ordered well in advance of run-out dates.
  • Random checks in the warehouse, and the production line are carried out.
  • Monitor and assess processes, products, and services to ensure compliance with established quality and safety standards.
  • Assist with conducting risk assessments and hazard identification to proactively address potential health and safety concerns.
  • Assist with designing and delivering training programs to enhance employee awareness and understanding of quality and safety procedures. 
  • Assist with Investigating incidents and accidents, identifying root causes, and implementing corrective and preventive actions.
  • Analyze data and prepare reports to provide insights and recommendations for continuous improvement.
  • Collaborate with external auditors and regulatory agencies to ensure compliance with all applicable laws and regulations.
  • Stay updated with emerging trends and best practices in quality management and workplace health and safety

Required Skills & Experience:

  • First degree or equivalent qualification in Chemistry, Microbiology, Natural Sciences or a related field.
  • Experience with safety techniques and laboratory tachniques is an asset.
  • Good communication skills and interpersonal skills.
  • Ability to work independently as well as within a team.

Key Performance Indicators (KPIs):

  • Compliance Rate: Measure the percentage of adherence to quality and safety standards across the organization.
  • Incident/Accident Rate: Track the number of workplace incidents or accidents, aiming for a reduction over time.
  • Training Effectiveness: Evaluate the impact of training programs by assessing employee knowledge and understanding of quality and safety procedures.
  • Audit Performance: Measure the results of internal and external audits, focusing on the number of non-conformities and their timely resolution.
  • Continuous Improvement Initiatives: Assess the number and effectiveness of implemented improvement initiatives to enhance quality, safety processes, and document management.
