Executive Assistant to the Executive Manager - Business Efficiency and Shared Services

Main Purpose of Job:

The Executive Assistant to the Executive Manager - Business Efficiency and Shared Services (EMBESS), will provide high-level administrative support to the EMBESS in driving business efficiency and enhancing shared services across Angostura Holdings Limited. This role requires exceptional organizational skills, attention to detail, and the ability to manage complex calendars and projects efficiently. You will be an integral part of the team, ensuring seamless communication and coordination within the organization and with stakeholders.

 

Key Duties and Responsibilities:

  • Provides comprehensive administrative support to the EMBESS, including managing calendars, scheduling meetings, arranging travel, and preparing correspondence.
  • Acts as a liaison between the EMBESS and internal/external stakeholders, effectively managing communication and ensuring timely responses to inquiries.
  • Assists in the preparation of reports, presentations, and other materials for internal and external meetings.
  • Coordinates and facilitates meetings, including preparing agendas, taking minutes, and following up on action items.
  • Conducts research and gathers information as needed to support the EMBESS in decision-making and project management.
  • Maintains confidential files and records, exercising discretion and professionalism at all times.
  • Assists in the coordination and execution of special projects and initiatives, working collaboratively with cross-functional teams.
  • Manages the EMBESS's incoming documents, prioritizing and flagging urgent items for attention.
  • Handles ad hoc administrative tasks and projects as assigned by the EMBESS, demonstrating flexibility and a willingness to take on new challenges.

  • Timely and accurate completion of administrative tasks.

  • Proactive identification and resolution of issues.
  • Maintenance of confidentiality and professionalism in all interactions.

 

Relationships:

  • Internal: Executive Manager - Business Efficiency and Shared Services (EMBESS), CEO, Executive Management Team, Senior Operations Management, Sales and Marketing Management and Staff, and other employees within the organization.
  • External: Suppliers, Vendors, Consultants, Industry Association Representatives, Government and Accreditation Bodies, Industry Bodies.

 

Qualifications and Skills:

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Minimum of three (3) years’ experience as an Executive Assistant or similar role, supporting Senior Executives in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Experience in an SAP environment and BI tools would be an asset.
