JOB SUMMARY

The Workshop Controller is responsible for overseeing the day-to-day operations of the workshop, including managing a team of technicians, coordinating repair jobs, ensuring efficient workflow, and maintaining high-quality standards of service. They serve as a liaison between service advisors, technicians, and customers to ensure smooth communication and timely completion of repairs. The Workshop Controller also plays a key role in maintaining inventory, scheduling appointments, and upholding safety and compliance standards within the workshop.

 

PRIMARY JOB DUTIES & RESPONSIBILITIES

  • Serve as the liaison between Service Advisors and Technicians
  • Provide regular updates to Service Advisors regarding repair order statuses
  • Maintain a comprehensive list of incoming repair orders on the Service Planning Board
  • Continuously update and manage the Service Planning Board
  • Supervise and update the Technician Work Planner as needed
  • Ensure accurate tracking of technician work hours, attendance, and sold hours
  • Monitor and track instances of repeat work
  • Generate monthly reports detailing technician timings and completed repair orders
  • Notify the Service Manager of any technicians awaiting work assignments
  • Update the CDK system with repair order statuses
  • Collaborate with Appointment Booking staff to allocate appointment timings effectively
  • Schedule vehicles for washing and oversee the process
  • Coordinate the movement of vehicles to and from the wash bay
  • Manage Service Quality Check registers and associated forms
  • Assist with vehicle check-in procedures at reception
  • Coordinate the transfer of vehicles to the Service Department
  • Arrange for the movement of vehicles from the wash bay to Service Reception
  • Oversee the maintenance and records of Service Department equipment
  • Manage monthly counts and maintenance of Technician tool pans
  • Supervise the inventory and maintenance of special tools
  • Track the usage of wheel alignment and wheel balancing equipment
QUALIFICATIONS & EXPERIENCE REQUIRED
  • Bachelor's Degree in Automotive Technology, Engineering or Business Management would be as asset.
  • A trained and qualified auto-technician with over 8 years experince in the field.
  • Over 2 years supervisory experience.
  • A valid driver's license with a clean record.
SPECIFIC SKILLS OR COMPETENCIES REQUIRED
  • Technical Knowledge: A strong understanding of automotive systems and repair procedures is essential. This may be acquired through formal education, such as a degree or diploma in automotive technology, or through extensive hands-on experience in the field.
  • Leadership Skills: The Workshop Controller must effectively lead and manage a team of technicians, so experience in a supervisory or managerial role is often required. Strong leadership, communication, and interpersonal skills are necessary to motivate and guide team members.
  • Organizational Abilities: The Workshop Controller is responsible for coordinating and prioritizing repair jobs, maintaining schedules, and ensuring efficient workflow in the workshop. Excellent organizational skills and the ability to multitask are essential for success in this role.
  • Problem-Solving Skills: The Workshop Controller must be able to quickly identify and resolve issues that arise during the repair process. This may involve troubleshooting technical problems, addressing customer concerns, and finding solutions to logistical challenges.
  • Customer Service Orientation: The Workshop Controller interacts with customers to discuss repair needs, provide updates on vehicle status, and address any concerns or questions. Strong customer service skills and the ability to communicate effectively with diverse individuals are important for maintaining positive customer relationships.
  • Computer Proficiency: Proficiency with computerized systems and Dealer Management System used for scheduling, inventory management, and job tracking is often required. Familiarity with automotive diagnostic tools and software will be beneficial.
