The CEO’s office requires the support of advanced skills to handle the dual function of day-to-day office administration, offering first class stakeholder management as well as business analysis and reporting support.  IGL has other specialists and business analysts who will collaborate with this role, and provide data and analysis, in support of the CEO’s office.   

 

 

About the Role and the Person

 

Reporting to the CEO, the Executive Assistant/Business Analyst will provide professional and technical support in scheduling and streamlining resources for the efficient and effective operations of the CEO’s office, working closely with other senior managers to deliver on-time and on-target reports against relevant KPIs. You will need a very high affinity for congeniality, confidentiality, precision, team working and collaboration. You will need to be confident in preparing presentations for the CEO’s office, with his guidance and inputs from other Business Analysts.

The incumbent will be passionate about the gas industry, a curious meta-thinker and a confident communicator. As an innovative contributor, you will constantly check and question information and identify new approaches to enhance the mandate of the role with the support of the CEO.

 

The Executive Assistant/Business Analyst has the following core responsibilities to:

 

-        Prepare confidential information for the CEO and other executives as necessary.

-        Coordinate, attend and maintain records of meetings. 

-        Ensure the proper documentation of meetings and the timely distribution of such documentation.

-        Serve as liaison between the designated managers, his/her staff, offices, general staff and other institutions and               businesses and industry contacts.

-        Identify and conduct research projects geared towards improvement and efficiency of the department’s                           administrative systems and prepare reports on findings with recommendations to remedy identified problems.

-        Complete and reconcile expense statements and make recommendations.

-        Coordinate work schedules with department managers to ensure that the CEO receives all relevant reports.

-        Maintain and update calendars, prepare and format documents, memos, letters, reports and other forms of                     correspondence.

-        Organize and manage files, reference material and proprietary business information.

-        Manage events activities/conferences, travel schedules, track expenses, plan, and organize, schedules and co-                 ordinate meetings and other appointments. 

 

 

Qualifications, Experience and Profile:

 

  • Bachelor’s degree in Business Administration or similar qualification.
  • Five years’ experience in a similar position with responsibilities to prepare presentations.
  • Excellent oral and written communication skills.
  • Ability to prepare minutes, action plans, collate and circulate documents in a timely manner.
  • The ability to complete administrative duties timely and accurately with minimum supervision; strong customer-service focus and organizational skills.
  • Proficiency in Microsoft Suite especially Word, Excel and PowerPoint.
  • Successful experience in a position requiring trust and handling confidential material.
  • Comfort and experience interacting with all levels of the organization, including the Company’s business executives.
  • Self-motivated, outstanding work ethic and tenacious.
  • An eye for detail and aesthetics.
  • Track record for building strong relationships and closing deals.
  • Highly organized with penchant for meeting deadlines and business promises and obligations.
