Collections Specialist

RESPONSIBILITIES:

  1. Contact customers via phone or email to follow up on outstanding invoices and overdue payments.
  2. Assist in the preparation of payroll processing.
  3. Maintain accurate records of customer interactions and payment status in the accounting system.
  4. Negotiate payment plans with customers who are experiencing financial difficulties.
  5. Collaborate with internal teams, including sales and customer service, to resolve billing discrepancies and disputes in a timely manner.
  6. Monitor accounts receivable aging reports and prioritize collection efforts based on the level of delinquency.
  7. Escalate unresolved issues to the Operations Manager/Director as needed.
  8. Provide regular updates on collection activities and progress to the Operations Manager/Director.
  9. Assist with the preparation of monthly aging reports and analysis of collection trends.
  10. Identify lost opportunities for process improvements to streamline the collections process and enhance efficiency.
  11. Any other duties as suggested by the Leadership Team. 

Qualifications/Skills:

  1. High school diploma or equivalent; associates or bachelor's degree in Accounting, Finance, or related field preferred.
  2. Proven experience working in collections or accounts receivable, preferably in a manufacturing or related industry.
  3. Strong negotiation and persuasion skills with the ability to maintain professionalism and diplomacy in challenging situations.
  4. Excellent verbal and written communication skills, with the ability to interact effectively with customers and stakeholders.
  5. Detail – oriented with strong organizational and time management skills.
  6. Proficient in Accounting Software, and Microsoft Office applications especially Excel.
  7. Ability to work independently and collaboratively as part of the team in a fast-paced environment.
  8. Knowledge of relevant regulations and best practices in collections and credit management is a plus.
