ACCOUNTING & ADMIN ASSISTANT 

JOB FUNCTION

We are seeking a detail-oriented and motivated Accounting Assistant to join our finance team. This pivotal role supports the needs of the accounting department by undertaking a diverse range of accounting and administrative responsibilities. These encompass ensuring the precise and timely preparation and input of accounting data, expeditiously processing payments, and offering indispensable administrative assistance at our Head office.

 

The company maintains a focus on achieving and maintaining the highest levels of service to both its internal and external customers and towards achieving its performance objectives.  All activities must conform to the customer service and sales standards set by the company and with all legal and statutory requirements.

 KEY ACCOUNTABILITIES AND RESPONSIBILITIES

  • Accurately enter data into the accounting system.
  • Process accounts payable and accounts receivable transactions accurately and in a timely manner inclusive of any statutory obligations.
  • Reconcile bank statements and resolve any discrepancies, maintain cashflow-related registers including actuals against forecasts and budgets.
  • Manage petty cash transactions, including disbursing funds, reconciling balances, and maintaining accurate records.
  • Support the payroll function including collecting and entering employee timesheets, calculating and uploading payroll.
  • Assist with month-end and year-end closing procedures.
  • Maintain accurate and organized financial records, both physical and electronic.
  • Prepare and process invoices, expense reports, and other financial documents and assist with the preparation of financial reports, including balance sheets, income statements, and cash flow statements.
  • Provide support to the finance team as needed, including performing administrative tasks such as filing, data entry, and answering inquiries.
  • Collaborate with other departments to ensure accurate and timely recording of financial transactions, liaise with outlets, third-party providers, clients and suppliers.
  • Assist with special projects and ad hoc financial analysis as assigned by management.
  • Support the maintenance of a team environment by performing other related duties as may be required.

 MINIMUM QUALIFICATIONS EXPERIENCE AND SKILLS

  • Minimum 6 O‘Levels/CXC & 2 A’Level/CAPE including Accounting at both levels.
  • Completed/Pursuing Level 1 ACCA.
  • At least 2 years’ experience in a similar capacity.
  • Experience in Peachtree/Sage Accounting Software.
  • Excellent Excel skills.
  • Diploma level Admin training considered an asset.

 REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Strong analytical skills and attention to detail.
  • Ability to perform large amounts of numerical work with speed and accuracy.
  • Excellent time management and organizational abilities.
  • Ability to work independently and as part of a team.
  • Operate effectively in a fast-paced work environment.
  • Excellent interpersonal, verbal and written communication skills.
  • Excellent customer service and teamwork orientation.

 SALARY AND BENEFITS

  • $7,000.00 monthly salary.
