The Warehouse and Technical Supervisor oversees receiving, storage, and delivery activities. They organize and execute warehouse operations with efficiency, confidentiality, with a focus towards policy adherence and compliance.

Supervises:                             Warehouse Workers and Forklift Driver

Works Closely With:              Logistics, Customer Service and Quality Control
                                      

Position Description:

The Warehouse and Technical Supervisor oversees receiving, storage, and delivery, as well as supervises warehouse staff. They also handle inventory reconciliation, oversee production, and ensure compliance with regulations. They are expected to efficiently organize and execute warehouse activities while maintaining confidentiality and adherence to procedures and policies.

 

Major Areas of Responsibility

  • Supervise and coordinate all Production and Warehouse activities
  • Supervise and provide leadership to all Warehouse staff including training and performance evaluation
  • Oversee inventory management and reconciliation processes to maintain accurate inventory records.
  • Conduct customer service transactions
  • Provide support during investigation of product non-conformity, as well as customer complaints
  • Ensure adherence to all company policies, including health and safety guidelines in the warehouse
  • Implement and enforce best practices for warehouse operations, including Good Manufacturing Practices (GMP) and SOP adherence.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Identify areas for process improvement and implement corrective actions to optimize warehouse efficiency and productivity.
  • Ensure proper document handling and record keeping.

Specific Responsibilities of the Job:

RECEIVING MATERIALS

  • Supervise all activities associated with receiving incoming material to ensure:

-          material protocol is followed,

-          materials are quantified and data recorded

-          materials are appropriately stored

  • Supervise container stripping process to ensure timely completion and return to wharf.

STORAGE

  • Ensure safe and efficient storage of all items in the warehouse.
  • Ensure goods are palletized and stacked in a manner that will prevent accidental toppling or physical damage. 

DELIVERY OF GOODS

  • Goods are delivered according to First in First Out (FIFO) principle.
  • Coordinate all stages of the goods delivery process to ensure accuracy

CUSTOMER SERVICE

  • Ensure warehouse is opened on time to provide service to customers at 8:00 am each work-day
  • Relay customer request to Customer Service and await invoice issuance
  • Calculate daily sales totals and handle lodgements according to protocol

TECHNICAL

  • Inspect and ensure that all incoming and outgoing goods meet quality standards and are free from damage or defect.
  • Assist with investigations of product non-conformity and customer complaints
  • Work alongside internal teams to ensure that appropriate quality control measures are in place

 STAFF ADMINISTRATION

  • Conduct periodic appraisals of direct reports
  • Ensure warehouse staff comply with company guidelines and policies
  • Execute disciplinary action according to the company’s disciplinary guidelines

REGULATORY COMPLIANCE

  • Ensure the production processes are carried out with compliance to internal and external standards including Good Manufacturing Practice (GMP) and the Factories Act
  • Report, document and appropriately handle all incidents, accidents or near misses.
  • Ensure labour relation standard is maintained
  • Ensure all production processes and workers’ activities comply with the company’s policies and general guidelines.

INVENTORY CONTROL

  • Be responsible for the control and safe keeping of all Inventory by ensuring:

- Accuracy in receival and delivery

- Accuracy in weight and measures

- Minimize shrinkage and production losses

- Secure Warehouse and Storerooms against unauthorized entry, exit and removal of inventory

- Keep all storage and holding areas secured to prevent unauthorized removal of products, raw material and packaging materials

- Comply with internal measures to track and account for all inventory items from receival and through each stage of storage and processing, to delivery.

  • Conduct bi-monthly stock counts of all materials and products.
  • Complete stock report and submit to the relevant parties
  • Promptly conduct any inventory variance investigation and reconciliation

MACHINE CARE

  • Report to the Operations Manager any malfunction or defect observed with machines or other support systems (pipelines, electrical circuits, infrastructure, etc.)
  • Ensure machines and work areas are cleaned at the end of each work day
  • Follow equipment maintenance and service schedule.
  • Ensure that staff are appropriately trained in safe and correct machine handling

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Job Requirements

  • Broad knowledge and experience in Warehousing
  • Above average skills in time management and interpersonal relations
  • Excellent skills in:
    • Workforce organization
    • Microsoft Office Suite and relevant computer application software
  • Experience in supervisory management
  • Demonstrated ability to:
    • Plan daily tasks
    • Supervise production activities
    • Assign tasks relative to worker’s skill-set
    • Implement quality control procedures in production processes
    • Respond to issues of non-compliance
    • Communicate effectively both orally and in writing
    • Be confidential and act professionally
    • Multitask

Education and Experience

  • Bachelor’s Degree in Business Administration, Applied Science or equivalent qualifications
  • Certification in Supervisory Management
  • Minimum 3 years in a production/warehouse supervisory or quality assurance function
  • Working knowledge of GMP standard
  • Working knowledge of the Factories Act, OSHA, Fire and other safety protocols

PHYSICAL DEMANDS

  • Job entails standing for extended periods of time
  • Regular exposure to various organic fumes
  • Warehouse conditions such as high temperatures and dust
  • Required to wear safety shoes and other safety gears
  • Required to lift products with weight up to 50 lbs.
