The Procurement and Logistics Officer position involves sourcing goods and services, negotiating contracts, coordinating with suppliers, monitoring inventory levels, and overseeing the transportation of goods to meet the company's operational requirements

The Procurement and Logistics Officer is responsible for managing the procurement and logistics functions within the organization. This role involves sourcing and procuring goods and services, coordinating with suppliers, and ensuring the efficient flow of products to meet the company's operational needs.

 

Key Responsibilities:

Sourcing and Procurement:

  • Research  new products and services to meet company’s goals
  • Build relationship with suppliers to negotiate the best prices and advantageous terms for the company
  • Identify potential suppliers and negotiate procurement contracts.
  • Conduct market research to stay informed about industry trends and pricing.
  • Assess supplier performance and ensure quality and cost-effectiveness.
  • Prepare and issue purchase orders.
  • Analyze Bid documents, research products, obtain prices and compile response to complete tender process by specified deadlines.

Inventory Monitoring:

  • Communicate with company employees to assist with purchases or order enquiries.
  • Communicate with warehouse to maintain accurate inventory records and ensure optimal stock levels.
  • Coordinate with different departments to understand their inventory needs.

Logistics Coordination:

  • Plan and coordinate the transportation of goods from suppliers to the company.
  • Monitor shipping process from time goods are ordered to time it arrives in Jamaica i.e liaise with shipping company, brokerage firm and haulage.
  • Resolve any transportation or delivery issues that may arise.

Cost Control:

  • Monitor procurement expenses and seek cost-saving opportunities.
  • Evaluate and compare supplier pricing, quality, and delivery times.
  • Work on optimizing logistics and transportation costs.

Compliance and Documentation:

  • Maintain accurate procurement and logistics records.
  • Prepare reports and documentation i.e.  Commercial invoices and compile invoices to be sent to broker on a weekly basis.
  • Uphold a strict level of confidentiality

Vendor Relationship Management:

  • Build and maintain strong relationships with suppliers and vendors.
  • Address supplier concerns and negotiate contracts and terms.

 Qualifications and Skills:

•             Proven experience in procurement and logistics roles.

•             Strong negotiation and communication skills.

•             Excellent organizational and time management abilities.

•             Proficiency in inventory management systems and software.

•             Attention to detail and accuracy in record-keeping.

•             Knowledge of import/export regulations and procedures.

•             Ability to work effectively in a fast-paced environment.
