Overall Objective:

 

To provide exceptional administrative support across various departments within Shawcorp Industries Limited, ensuring efficient operations and a positive work environment.  This dynamic role requires adaptability, strong organizational skills, and the ability to handle multiple tasks simultaneously.

 

Key Responsibilities:

 

Administrative Support:

Manage calendars and schedules for assigned personnel.

Arrange meetings, travel arrangements, and logistics for internal and external stakeholders.

Prepare professional presentations and reports.

Oversee office supplies and equipment, ensuring proper inventory management and replenishment.

Process invoices, manage petty cash, and handle basic accounting tasks.

Coordinate and facilitate communication within and across departments.

Manage and prioritize administrative tasks with a focus on efficiency and accuracy.

Human Resources Support:

Assist with the recruitment process, including scheduling interviews and candidate onboarding.

Maintain employee records and update human resource databases.

Process payroll and manage employee benefits administration (as needed).

Coordinate employee training and development programs.

Address employee inquiries and concerns related to HR policies and procedures.

Sales Support:

Assist the sales team with prospecting, lead generation, and data entry.

Prepare sales proposals and quotations.

Schedule customer appointments and manage customer service inquiries.

Generate reports on sales activities and track key performance indicators.

Inventory Management Support:

Assist with inventory control procedures and maintain accurate stock levels.

Process purchase orders and track deliveries.

Coordinate with the warehouse team for efficient order fulfillment.

Customer Service:

Answer phone calls, emails, and inquiries in a professional and courteous manner.

Resolve customer concerns and complaints promptly and efficiently.

Maintain detailed customer records and ensure customer satisfaction.

Additional Responsibilities:

Stay informed about company policies, procedures, and industry trends.

Maintain a professional and organized work environment.

Adapt to changing priorities and manage multiple tasks effectively.

Utilize technology efficiently to streamline administrative processes.

Oversee and delegate tasks to administrative staff (if applicable).

Perform other duties as assigned by the Management Team.

Qualifications:

 

Minimum of 3-5 years of experience in a fast-paced administrative role.

Strong organizational and time management skills.

Excellent communication and interpersonal skills, both written and verbal.

Proficient in Microsoft Office Suite and other relevant administrative software.

Ability to prioritize tasks, multitask effectively, and meet deadlines.

Adaptable and resourceful, with a willingness to learn new skills.

Strong attention to detail and a commitment to accuracy.

Positive attitude and a team-oriented approach.
