The Administrative Secretary (Tax) will provide secretarial and administrative support to the tax department to ensure compliance with tax regulations.

KPMG in Caricom is seeking to hire a talented, highly skilled Administrative Secretary  that will provide support to the Tax Practice by providing efficient management of administrative functions in our Jamaica office.

JOB PURPOSE:

The Administrative Secretary will provide support to the management group within the Tax Practice by providing efficient management of administrative functions including, but not limited to, Know Your Client, onboarding, correspondence management, central assignments log and filing.

RESPONSIBILITIES:

  • Prepare, format, and edit all electronic correspondences/reports to ensure conformity to KPMG standards.
  • Electronically log and file correspondences received and dispatched.
  •  Ensure that the electronic filing system is efficiently organized in accordance with prevailing KPMG standards.
  • Maintain the administrative folders on the tax server.
  • Move finalized soft calculations/tax computations/schedules/letters/reports from the work-in-progress folder to the administrative folder on the tax server.
  • Ensure that the physical file retention areas, including the vault and library are efficiently organized.
  • Maintain a log of assignments/tasks and the responsible team members, related to correspondences.
  • Provide reminders to owners of tasks assigned, and documenting progress of assigned tasks.
  • Follow up with external parties regarding required responses to correspondences.
  • Complete KPMG know your client and other client onboarding procedures for new clients.
  • Complete the KPMG risk management procedures required for the periodic ongoing evaluation of tax clients.
  • Provide guidance to professional staff regarding their responsibility to roll over or update their client evaluations, engagement evaluations and sentinel approval numbers.
  • Complete forms for the generation of billing codes for clients via the practice management system.
  • Monitor and ensure that central stationery supplies are maintained, including ink cartridges, paper, letterhead, and the like.
  • Assist with the timely generation of electronic client invoices, credit/debit memos by preparing, formatting, and editing invoices for client billing to ensure conformity with KPMG standards.
  •  Other general administrative functions assigned by the management group.

 

 

QUALIFICATIONS:

  •  Certified Professional Secretary (CPS) designation or Associate Degree in Business/Administration.
  •  At least 4 years of copy typing experience.
  • Minimum 4 years Administrative Assistance experience.

SKILLS:

  • Experience in working with numbers, such as financial data.
  • Computer skills with strong proficiency in MS Word, and a working knowledge of MS PowerPoint and MS Excel.
  • Strong written, verbal communication and interpersonal relationship skills.
  •  Initiative, and the ability to work under pressure in meeting tight deadlines.
  • Good analytical skills and attention to detail.
