Job Specification – Administrative Assistant

 

Location: Montego Bay, Jamaica

  

The Palm Terrace,  Jamaica's newest premier event venue, nestled in the picturesque hillside of Montego Bay,  offering five enchanting entertainment spaces, including terraces overlooking the Caribbean Ocean, lush gardens, and indoor areas is seeking to hire an Administrative Assistant.

 

This position requires excellent communication skills, organization skills, time management skills, a service-oriented attitude and the ability to work well in an agile environment. Your work and specific responsibilities will include:

  • Assisting in managing day-to-day administrative tasks, including answering phones, responding to emails, and handling correspondences.
  • Coordinating appointments, meetings, and events for venue staff and clients.
  • Maintaining and organizing files, records, and documents, both in physical and electronic formats.
  • Assisting with preparing reports, presentations, and other documents as required.
  • Managing office supplies inventory and placing orders as needed.
  • Assisting with invoicing, billing, and basic accounting tasks.
  • Conducting site visits with clients to showcase the venue and discuss event requirements.
  • Providing support during events, including setup, registration, and guest services.
  • Acting as a point of contact for clients, vendors, and visitors, ensuring excellent customer service at all times.
  • Collaborating with other team members to ensure seamless operation of the venue.

 

Requirements:

  • Minimum two (2) years’ experience as an Administrative Assistant or in a similar role, preferably within the hospitality, events or BPO industry. Previous events industry experience is highly desirable. Prior training in Customer Service or Sales will be advantageous. 
  • Proficiency in MS Office (Word, Excel, Outlook) and computer navigation.
  • Secretarial/Administrative Professional Certification or Associate Degree in Business or similar area required.
