JOB PURPOSE
The Assistant Operations Manager / Operations Manager is responsible for supporting the Director in the strategic and day-to-day management of all Group operations, ensuring efficiency, accountability, and consistency across all business units.
The role provides end-to-end oversight of financial controls, operational processes, compliance, and performance management, and is critical to maintaining operational integrity and driving continuous improvement across the organization.
KEY RESPONSIBILITIES
1. Operational Oversight & Coordination
Oversee and coordinate the daily operations of all business units, including Genba Lounge & Grill, JusDrive, and ASAP
Monitor operational performance across entities to ensure alignment with organizational standards and objectives.
Provide direct support to managers and supervisors to ensure efficient execution of operational activities.
Ensure consistency in service delivery, operational procedures, and customer experience across all entities.
2. Financial Management & Controls
Oversee the disbursement of funds to suppliers and vendors, ensuring accuracy, proper authorization, and timely payments.
Validate payroll submissions prior to processing to ensure accuracy, completeness, and compliance with established procedures.
Ensure timely preparation and payment of statutory deductions, including NIS, NHT, and Education Tax.
Monitor and control operational expenditures to ensure alignment with approved budgets.
Review and approve purchases above thresholds established by the Director.
3. Procurement Oversight
Track, monitor, and evaluate purchasing activities conducted by managers and supervisors across all entities.
Ensure that procurement activities are conducted in accordance with approved procedures and cost-control measures.
Identify and address inefficiencies, irregularities, or non-compliance in procurement practices.
4. Audit, Compliance & Risk Management
Conduct impromptu operational and financial audits across all business units to ensure adherence to policies and procedures.
Investigate discrepancies, irregularities, or control weaknesses and provide recommendations for corrective action.
Ensure compliance with internal policies, regulatory requirements, and operational standards.
Maintain proper documentation to support audit readiness and accountability.
5. Process Improvement & Quality Assurance
Conduct process reviews and mapping exercises across all companies to identify inefficiencies and opportunities for improvement.
Lead and support the implementation of process improvement strategies to enhance productivity, cost-efficiency, and service delivery.
Develop and monitor Standard Operating Procedures (SOPs) to ensure operational consistency and clarity.
Conduct regular quality assurance activities to ensure adherence to standards and continuous improvement.
6. Performance Monitoring & Reporting
Monitor and report on key operational metrics across all business units, including:
Revenue performance
Cost control
Efficiency indicators
Prepare and submit regular operational and management reports to the Director.
Provide data-driven insights and recommendations to support strategic decision-making.
7. Strategic & Administrative Support to the Director
Provide high-level operational and administrative support to the Director in managing Group activities.
Assist in the development and execution of operational strategies and business initiatives.
Coordinate cross-functional activities and ensure alignment across business units.
Support planning, budgeting, and performance management processes.
8. Customer Experience & Service Excellence
Monitor customer feedback and service delivery standards across all entities.
Identify service gaps and implement corrective measures to enhance customer satisfaction.
Ensure alignment between operational processes and the Group’s service excellence standards.
9. Workforce Oversight & Accountability
Support managers in enforcing performance standards, discipline, and accountability.
Monitor staff productivity and operational discipline across business units.
Provide guidance and coaching to managers to improve team performance and efficiency.
10. Systems & Data Management
Ensure effective use of operational and financial systems across the Group.
Support the integration and optimization of systems such as QuickBooks and operational tracking tools.
Maintain accurate and reliable operational data for reporting and analysis.
QUALIFICATIONS & EXPERIENCE
Bachelor’s Degree in Business Administration, Management, Accounting, or a related field
Minimum of 3–5 years’ experience in operations management, preferably across multiple business units
Experience in restaurant operations, logistics, or service-based industries is highly desirable
Strong working knowledge of financial systems (e.g., QuickBooks)
