The Inventory Officer is responsible for supporting inventory accuracy, warehouse operations, and stock control processes through efficient data management, reporting, reconciliation, and coordination across KPL Warehousing operations.
• Complete and post all data entry for the Decorative Division daily, inclusive of Raw Materials, Packaging, Cans, and Labelling.
• Process stock adjustment data when required.
• Enter and maintain data within system software.
• Assist with barcoding of new items.
• Close off all Batch Tickets within 24 hours of production.
• Generate new inventory item keys.
• Assist in deactivating inactive inventory files for Decorative locations.
• Assist in obtaining and updating item standard costs.
• Assist in updating retail costs of items.
• Attach item locations within the inventory system.
• Assist with any other Inventory and Warehousing tasks as required.
• Generate spot count lists and submit a minimum of 15–20 items monthly, or as otherwise required.
• Reconcile variances and submit subsequent reports within one (1) day after counts are completed.
• Document adjustments in the Inventory Stock Adjustment Book and submit to the Inventory Manager for approval.
• Ensure all data entry and adjustments are completed before the month-end close-off deadline.
• Investigate variances and negative on-hand balances under purview before month-end close-off and advise on corrective measures.
• Submit inventory valuation reports.
• Reconcile inventory controls for all Decorative locations under purview no later than 1–2 working days after valuation submission.
• Generate stock sheets with assigned BIN locations.
• Reconcile yearly stock variances in collaboration with Warehouse and Billing departments.
• Submit stock reports outlining issues/findings and recommendations to reduce variances.
• Complete stock count close-off within two (2) weeks of count completion.
• Assist in implementing new inventory systems where necessary.
• Submit and follow up on supplier queries with the Purchasing Department in a timely manner.
• Prepare purchasing requisitions and follow up to ensure purchase orders are generated promptly.
• Follow up on outstanding shipments when necessary.
• Assist in implementing warehousing structures for the Raw Material, Packaging, Cans, and Labelling Warehouses.
• Prepare all locations for yearly stock-taking exercises.
• Submit and update obsolete inventory reports with financial data on a monthly basis.
• Ensure Quality Hold items are controlled and discussed for disposal or reproduction.
• Assist in overseeing Warehouse Staff as it relates to HSE and Warehouse procedures.
• Maintain cleanliness and organization within the Raw Material, Packaging, Cans, and Labelling Warehouses.
Assist with any other relevant duties relating to the Inventory Department within the KPL Group of Companies.
• Proven experience as an Inventory Officer or in a similar position.
• Associate Degree or equivalent experience in a relevant field.
• Proficiency in the MS Office Suite, particularly Excel.
• Working knowledge of inventory management software (e.g. ERP systems).
• Excellent knowledge of data analysis and forecasting methods.
• Ability to accurately track inventory and generate reports.
• Strong analytical and mathematical skills.
• Excellent organizational, planning, and time management skills.
