JOB PURPOSE
To provide high quality corporate support to the Council in the areas of corporate management, people management, performance management, financial services, information communication and technology, customer services, document and records management, contract administration, and procurement within budget and in full compliance with relevant statutory obligations, regulations, codes, guidelines and Council policies and organisational directives.
The incumbent is responsible to provide pick-up and delivery services of mail and office personnel in a timely and efficient manner in full compliance with the respective Road Traffic Acts as well as standard policies, procedures and safety requirements of the Council.
KEY RESPONSIBILITIES
Transport of persons, goods and / or documents
- Observe all road and traffic rules when driving and adopt defensive driving as necessary to operate the assigned motor vehicle in the manner prescribed by the Government policies, procedures and practices at all times.
- Transport office personnel islandwide to designated sites in a safe, professional and courteous manner and undertake airport pick-ups/drop-offs for VIP visitors as directed.
- Transport items (e.g., records/files, supplies, materials, bank deposits, mail, cheques, etc.) as assigned within agreed timelines and on approved routes.
- Interpret maps and driving directives to determine the most efficient and safest routes to complete assignments.
- Maintain accurate and current records on the vehicle’s maintenance, fuel purchases, incident reports, condition report and any other required information (e.g., use and/or activities logs (delivery, trips, etc.)) in the prescribed manner.
- Update monthly mileage records and maintain logbook of each service vehicle on daily basis
- Schedule annual vehicle examination for service vehicles and apply for the renewal for the vehicle licence. Take the necessary action to ensure all licences and other documents for the vehicle are current, with renewals are completed on time and as required.
- Operate, use, clean and maintain (e.g., checking fluid levels, fueling, cleaning, etc.) the assigned motor vehicle to preserve the safe operation of vehicle as well as safety and security of passengers.
- Perform maintenance checks daily to ensure sound running of the vehicles assigned and arrange minor repairs where necessary.
- Monitor fuel and lubricant usage and determine when and what kind of maintenance the vehicle needs.
- Check oil and tyres properly and keep the service vehicles in clean condition, both inside and outside; keep track of general maintenance schedules, especially car tyre condition.
- Report any defects or problems identified in the vehicle and take action to resolve problems or defects to preserve road-worthiness.
- Take action within existing policies and practices to carry out duties in instances when the motor vehicle is not in working condition, including to effect mail delivery on foot or utilise public transportation.
- Report any risks and/or incidents that may impact the Council relating to travel, safety and security.
- Report accidents, incidents and unusual occurrences immediately to Supervisor as well as submit the relevant reports in keeping with Government regulations.
- Work with Office Attendant/Bearer to collect and deliver mail and packages, both incoming and outgoing, as necessary to support Office Services Section.
- Assist with office and meeting room arrangement for various meetings/events and perform occasional handyman jobs in the office (such as hanging pictures and small office repairs).
- Act as a back-up for the Receptionist as needed by answering to the phone and taking care of visitor registration as per office protocols as necessary.
- Performs any other support duties as may be assigned that can be reasonably expected of the job level
Authority
- Advise Supervisor of information relating to documentation of the vehicle in respect to expiry date to result in the appropriate action being taken
- Execute regular inspection and minor repairs and maintenance activities
- Make Accident Reports in keeping with government procedures and statutory requirements
- Recommend the purchase of items for the efficient operation of the vehicle (e.g. replacement of tyre/s, oil change, battery, etc.)
- Wash and maintain the vehicle to provide a clean environment
Minimum Required Education and Experience
- Completion of Secondary School education
- Five (5) years continuous accident-free operation of vehicle
- Valid General Driver’s Licence (PPV) and Police Report
- Certification for driving Government vehicles from National Works Agency (NWA)
Required Competencies
- Sound knowledge and understanding of the Road Code and other road regulations
- Sound knowledge of and experience in performing mechanical maintenance, vehicle inspection and general maintenance
- Sound knowledge and understanding of reading/interpreting road map
- Competent defensive driving skills
Special conditions associated with the Job
- Office hours may vary significantly on occasion, requiring work outside normal office hours (e.g., on weekends, public holidays and late night/early morning hours in order to respond to emergencies).
- This job is physically demanding (e.g., lifting, carrying, pushing, and/or pulling; significant climbing, stooping, kneeling, and/or crouching), with constant exposure to varying road and traffic conditions, and requires long sitting, walking, and standing.
REMUNERATION
Salary scale: $581, 308.00 – $690, 664.00 per annum.
