VACANCY

 

Applications are invited from suitably qualified persons to fill the following position at the New Arima General Hospital:

 

PROCUREMENT ASSISTANT

 

The incumbent will be responsible for the purchasing of equipment, material supplies at the New Arima General Hospital.

         Main Responsibilities:

  • Reviews assigned Purchase Requisitions, and ensures the availability of adequate purchase specifications.
  • Studies suppliers’ catalogues and current market data on varieties, quantities and prices available to determine appropriate products and supply sources.
  • Identifies appropriate supply sources from an approved vendors list.
  • Determines which of the approved vendors should be solicited for quotations or bids.
  • Interviews and/or negotiates with vendors to guarantee their ability to meet establishments’ requirements for design, performance, cost, quality and delivery of goods.
  • Selects the most suitable materials, products, services and supply sources and request quotations.
  • Evaluates quotations, process Purchase Requisitions and submit to the Purchasing Officer for verification.
  • Prepares Purchase Orders for signature and placing with the selected vendor.
  • Updates the Purchase Order file.
  • Monitors the progress of Purchase Orders by contacting the appropriate vendors by mail and/or phone to ensure that goods are shipped as agreed and expedites shipments as required.
  • Expedites emergency-type orders from point-of-requisition to point-of-receipt.
  • Monitors vendor performance and make appropriate recommendations with respect to vendors’ approved status.
  • Ensures that comprehensive and accurate records are kept of all purchases.
  • Maintains up-to-date catalogues (product and price listings) on commodities.
  • Keeps informed of all new supply sources for key materials and services.

 Minimum Qualifications, Training and Experience:

  • Five (5) O’level passes, inclusive of Mathematics and English Language.
  • Possess a Level I CIPS certificate.
  • Certification in Microsoft Word and Excel
  • Knowledge of 6P Dynamics is considered and asset.

 * Certificates acquired at foreign universities MUST be supported by certified transcripts as well as evidence that the completed programme is accredited in Trinidad and Tobago.
