Applications are invited from suitably qualified persons to fill the following position at the New Arima General Hospital:
PROCUREMENT ASSISTANT
The incumbent will be responsible for the purchasing of equipment, material supplies at the New Arima General Hospital.
Main Responsibilities:
- Reviews assigned Purchase Requisitions, and ensures the availability of adequate purchase specifications.
- Studies suppliers’ catalogues and current market data on varieties, quantities and prices available to determine appropriate products and supply sources.
- Identifies appropriate supply sources from an approved vendors list.
- Determines which of the approved vendors should be solicited for quotations or bids.
- Interviews and/or negotiates with vendors to guarantee their ability to meet establishments’ requirements for design, performance, cost, quality and delivery of goods.
- Selects the most suitable materials, products, services and supply sources and request quotations.
- Evaluates quotations, process Purchase Requisitions and submit to the Purchasing Officer for verification.
- Prepares Purchase Orders for signature and placing with the selected vendor.
- Updates the Purchase Order file.
- Monitors the progress of Purchase Orders by contacting the appropriate vendors by mail and/or phone to ensure that goods are shipped as agreed and expedites shipments as required.
- Expedites emergency-type orders from point-of-requisition to point-of-receipt.
- Monitors vendor performance and make appropriate recommendations with respect to vendors’ approved status.
- Ensures that comprehensive and accurate records are kept of all purchases.
- Maintains up-to-date catalogues (product and price listings) on commodities.
- Keeps informed of all new supply sources for key materials and services.
Minimum Qualifications, Training and Experience:
- Five (5) O’level passes, inclusive of Mathematics and English Language.
- Possess a Level I CIPS certificate.
- Certification in Microsoft Word and Excel
- Knowledge of 6P Dynamics is considered and asset.
* Certificates acquired at foreign universities MUST be supported by certified transcripts as well as evidence that the completed programme is accredited in Trinidad and Tobago.
