Applications are invited from suitably qualified persons at The Council of Community Colleges of Jamaica to fill the permanent position of:
Secretary (OPS/SS2) Office of Examination and Assessment Services
JOB SUMMARY:
Under the general direction of the Examinations Officer, the incumbent is responsible for providing administrative and secretarial support to the Examinations and Assessment Department.
KEY RESPONSIBILITIES:
- Formatting correcting and submitting to the Assistant Examinations Officer for review, all examination papers and coursework pieces for subjects being examined by the Council.
- Participating in the preparation processes of all forms of assessment.
- Keeping files of examination papers according to the established protocol and procedures.
- Making bookings for workshops to include venue, accommodation and transportation where necessary.
- Arranging and attending meetings of the CCCJ Examinations and Quality Assurance Sub-Committee and prepares Minutes of these meetings.
- Monitoring requests for payment (to External Examiners, Subject Leaders and Proofreaders) internally between the Executive Director’s Office and the Accounts Department.
- Does follow-up with External Examiners to dispatch and collect examination papers and student scripts.
- During Examination period:
- Dispatching solutions to the review team for standardization and dispatches revised solutions to Colleges’ CCCJ Coordinators for distribution to lecturers/markers
- Logging and bringing to the attention of the Examinations Officer reports of examination discrepancies
- Assisting with the production of the Final Examinations
- Participating in examination site visits
- Marking Multiple Choice Scanned Sheets using the appropriate software.
- Any other duties assigned by supervisor
MINIMUN REQUIREMENT EDUCATION AND EXPERIENCE:
- Associate Degree in Business Administration
OR
- Successful completion of the prescribed Office Professional Training Course at the Management Institute for National Development (MIND)
OR
- Graduate from an accredited Secretarial School
REQUIRED SKILLS AND COMPETENCES
Must show evidence of proficiency in:
- Typewriting at speed of 40-45 words per minute
- Shorthand at a speed of 80-100 words per minute
- Training in word processing applications
- Excellent Planning and Organizational Skills
- A high level of integrity
- Ability to handle multiple tasks with attention to detail
- Action-oriented and self-driven
- Excellent interpersonal, written and oral communication skills
- Proficiency in Word, PowerPoint, Excel and MS Outlook
- Ensures that confidentiality is maintained at all times
SPECIAL CONDITIONS OF THE JOB
- Long hours
- Meticulous records keeping
- There are a number of deadlines associated with this position, which may cause significant stress
- The incumbent must also deal with a wide variety of people on various issues
REMUNERATION
Salary scale: range $820 293.00 - $975 070.00 per annum
