The primary function of the Human Resource/Administrative Assistant is to provide high level administrative support to the General Management Team by performing a variety of confidential administrative duties.

Responsibilities:

Human Resource

  • Assist with updating the Human Resources Information System (HRIS) - Microsoft Dynamics and generating reports as required.
  • Review and amend Departmental Organizational Charts.
  • Assists with training and development initiatives.
  • Provides support in recruitment to maintain an efficient employment process, which includes job descriptions, position advertising, short listing, interviewing, selection, and placement and orientation.
  • Assist with the development policy and procedures and documentation of the same.
  • Assist with employee relations, performance management, and the employee disciplinary process.
  • Collect and collate relevant data for payroll
  • Assist with completion of NIS claim forms
  • Assist with completion of medical claim forms
  • Collect and verify timekeeping  information for all employees

 

Administrative

  • Assist with the daily functions of the Administrative Department
  • Support Maintenance Department
  • Provide administrative support to Directors, Senior Managers, Operations
  • Schedule and manage calendar events in collaboration with Marketing Department
  • Manage relationships with Company stakeholders.
  • Prepare and revise written documents, reports and correspondence as required.
  • Assist with the review, upgrade and maintenance of operating policies and systems
  • Assist with the co-ordination of staff training.
  • Ensure proper filing and maintenance of Company documents and records.
  • Co-ordinate Drivers schedule and management of Company Vehicles (Fleet Management)
  • Liaison with Vehicle Rental Company
  • Assist with preparation of Daily Casualty Report
  • Prepare Monthly Grocery orders for:
    •  Administration/HR Department
    • Company Houses
  • Prepare monthly Stationary requests for Administration/HR Department
  • Assist as back up Petty Cash custodian
