CONCIERGE AGENT

JOB SUMMARY:

The Concierge/Front Desk Agent will be required to for handling front office reception and administration duties, including greeting guests and answering phones, handling company inquiries, sorting and distributing mail also scheduling the meeting rooms.

CORE RESPONSIBILITIES:

  • Answer phones and operate a switchboard.
  • Route calls to specific people.
  • Answer inquiries about the company.
  • Greet visitors warmly and make sure they are comfortable.
  • Call persons expecting a visitor.
  • Scheduling of conference rooms.
  • Ensure reception area is tidy and meeting rooms are put back after meetings.
  • Coordinate mail flow in and out of the office.
  • Handle phone calls from people calling in sick.
  • Hand out employee applications.
  • Collect and distribute parcels and other mail.
  • Perform basic bookkeeping, filing, and clerical duties.
  • Take and relay messages.
  • Monitor office and meeting room supplies and place orders when necessary.
  • Monitoring the ordering of bottled water.

  • Excellent communication skills (verbal & written).

  • Ability to multi-task.
  • Customer-service oriented.
  • Have excellent interpersonal skills.
  • Time Management - managing one's own time and the time of others.
  • Must be detailed oriented and thorough in completing work tasks.
  • Dependability – The job requires being reliable, responsible, dependable, and fulfilling obligations.
  • Integrity – The job requires being honest and ethical.
  • Must be flexible. 

QUALIFICATIONS AND EXPERIENCE:

  • High School Diploma and or related certifications.
  • Excellent knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Experience as front desk representative, agent, or related position.
  • Familiarity with office machines (e.g. fax, printer, etc.).
  • Knowledge of office management and basic bookkeeping.
  • Proficient in English (oral and written).
  • Good organizational and multi-tasking abilities.
  • Problem-solving skills.
  • Customer service orientation.
