Logistics Coordinator

Purpose

The Logistics Coordinator will be the Logistics focal point responsible for the timely co-ordination and compliance of all outbound cargo movements with an emphasis on the optimisation of logistics resources.

Roles & Responsibilities

  • Coordinate loading/offloading containers and ensure that the operations are run safely and that instructions and orders are well understood by the stevedores, crane operators and vessel crew.
  • Check that containers and lifting gears are approved for use and conduct visual inspection prior to use.
  • Ensure proper PPE (Safety helmets, gloves, coverall with reflective strips, safety shoes, work floating vest if necessary) compliance and maintenance of a safe working record and environment
  • Organize the quayside as a safe workplace to avoid interference between cranes and trucks delivering or collecting cargo.
  • Organize position of cranes to optimize lifting operations.
  • Check that any CCUs received at jetty to be loaded on board of the vessels are compliant with HSE requirements (marking plate, good color coding, safety pins on shackles, sling conditions, tag lines)
  • Be in direct contact with the Client and Offshore team in order to establish the loading priorities.
  • Mobilize in due time rigging crew in sufficient number and organise their shifts to minimize overtime.
  • Provide assistance to the vessel to moor/unmoor vessel lines.
  • Liaise with port authorities to secure berth and pilot services (if required) for vessels and keep them informed of movements.
  • Organise with captains of supply vessels the loading/unloading operations and confirm deck loading plans.
  • Check with captains of supply vessels that everything is clear and in order on vessel side and jetty side prior to start any pumping operations in vessels tanks.
  • Control that vessel crew has properly sea fastened the cargo on deck and that a deck escape route for vessel crew is made available.
  • Coordinate the cargo custom clearance for vessels.
  • Organise cargo at transit or alternative area (s) for short term drops, if necessary.
  • Take record of the duration of operations (time sheet) in order to issue the respective job tickets accordingly.
  • Facilitate material delivery requirements for drilling operations in liaison with Material Coordinator
  • Liaise with Materials Coordinator with respect to operations stock requirements and materials transfers
  • Assure cargo integrity compliance in association with 3rd party cargo inspection checklists for deliveries to the shore-base
  • Facilitation of load-outs and deliveries in a safe and efficient manner, to ensure optimal resource utilization
  • Coordinate road transport for materials transiting to and from the offshore locations
  • Efficient communications with offshore assets and Materials Coordinator to facilitate continued and reliable operations support
  • Efficient communications with marine support vessels to facilitate effective and efficient operations and to ensure that all welfare requirements are coordinated effectively
  • Focal Point for vendors and road haulage contractors for optimising timely deliveries and dispatch.
  • Communications with Materials Coordinator regarding requirements for Drilling operations, to facilitate materials deliveries or services, required from the Chaguaramas base
  • Participate in all logistics planning meetings and provide updates and information as required
  • Work closely with Material Co-ordinator and Supply Base (SB) operations team to ensure cargo delivered in a timely manner whilst optimising Logistics resources.
  • Responsible for timely booking (and cost administration) of marine pilots in Chaguaramas.
  • Filing of cargo manifest, material request, delivery notes etc and any other documents relevant to materials movements and to establish “chain of custody”
  • Discuss and agree KPIs with Material Coordinator and initiate process to capture same
  • Confirm CCU “fit for purpose” with Lifting Authorities as and when required
  • Provision of cargo manifest, third party checklists and any other pertinent documentation to relevant assets and marine vessels for all deliveries
  • Ensure that waste materials are disposed of in a timely manner by designated contractor
  • Liaise with service providers regarding the call off of cargo (including materials, equipment, bulks and services).
  • Liaise with bulk service provider and internal marine/bulk co-ordinator to ensure timely load out of bulk products.
  • Participate in the daily logistics planning meeting and provide input into the vessel schedule.
  • Coordinate with quayside crew for loading and offloading of materials
  • Coordinate inventory and packaging requirements via warehouse
  • Assist with materials delivery requirements in support of drilling operations, as and when required
  • Work with key personnel in support of the Company's Quality Management System data input
  • Ensure the service provider sends a copy of the Dangerous Goods declaration to the Port Authority 24 hours prior to the vessel’s sailing.
  • Ensure CCU’s Follow up

Minimum Qualifications:

  • Certification in Logistics/ Materials Management or equivalent qualification
  • At least 5 years Logistics/Operational experience in the oil and gas industry

  • In partnership with the HSE department, ensure the continuous improvement of safety and environmental performance and compliance to all laws, regulations and industry standards/codes.  
  • Reports all incidents or breaches of policy or regulations to the line manager.
  • Fully endorse the ASCO ‘Stop the Job’ policy and commitment to proactive intervention where an unsafe act or condition is observed.
  • Adherence to the ASCO’s integrated management system ensuring document control and improvements to key processes is maintained.
