POSITION:OPTICAL ADMINISTRATOR

 

REPORTS TO:OPTICAL OPERATIONS MANAGER

 

PURPOSE:Responsible for the efficient running of optical administration and the lab

 

PRINCIPAL ACCOUNTABILITES:

  • Prepares monthly attendance records, lateness report, and pay sheets for temporary staff to aid in monitoring attendance and calculating payments
  • Schedules optometrists on a weekly basis to ensure that there is coverage at each branch
  • Processes all orders received from the branches for equipment and stationery needed to effectively run operations
  • Maintains a professional relationship with insurance companies to effectively resolve issues at the branches
  • Evaluates all lab orders that fail to process correctly in an effort to identify possible causes and solutions
  • Oversees the stock management process within the lab including courier services and payments to ensure that the lab is able to operate efficiently
  • Assists with purchases including contact lenses by liaising with suppliers to ensure competitive rates and promotional support
  • Actions all warranty issues to ensure there is a timely resolution and excellent customer service is maintained
  • Assists in preparing reports outlining negative stock, outstanding deliveries, out of stock items, fast selling brands, etc; to help develop new initiatives or solutions for eliminating variances
  • Performs any other duties assigned management line

 

JOB SPECIFICATIONS

QUALIFICATIONS/EDUCATION AND EXPERIENCE:

  • Diploma in Management Studies or Business Administration
  • Five (5) GCE/ CXC/CSEC Ordinary level passes including Mathematics and English Language
  • Proficient in Microsoft Office Suite

 

KNOWLEDGE, SKILLS AND ABILITIES:

  • Strong analytical, trouble shooting and problem solving skills
  • Previous Optical experience(preferred)
  • Highly motivated to provide timely deliverables
  • Strong (internal and external) customer service skills
  • Ability to communicate in both oral and written forms
  • Ability to work cross-functionally between multiple departments a Team player
  • Ability to prioritize and perform in a high demand environment
  • Strong work ethic and positive attitude towards work
  • Ability to use own initiative and work independently
