A statutory organisation in the maritime industry, invites applications from suitably qualified persons to be trained as ADMINISTRATIVE/RESEARCH ASSISTANT III.
JOB SUMMARY
This position performs administrative functions for the Assistant Vice President in ensuring the efficient operation of the department. The incumbent also carries out research for relevant material for the preparation, and publication of the weekly Maritime Industry newsletter and for the corporate plan and supports the Chief Risk Officer in the preparation of reports and other administrative tasks as required.
KEY DUTIES & RESPONSIBILITIES
- Use the internet and industry subscriptions to identify articles on local and international industry developments that may impact the company’s businesses.
- Prepare and publish newsletter on a weekly basis for circulation to executive management and staff.
- Prepare reports and other documents or correspondence required by the AVP, with the desired quality and within required time frame.
- Set up/maintain paper and electronic records filing systems for correspondence and other materials.
- Manage the appointment system for the AVP.
- Provide support with the preparation of quarterly reports for Sub-Committees and Boards of the company and subsidiaries as required.
QUALIFICATIONS & EXPERIENCE
- Bachelor’s degree in Business Administration or equivalent qualifications
- Three (3) years related working experience is ideal
KNOWLEDGE, SKILLS & COMPETENCIES
- Effective business communication (including business letter writing and report preparation)
- Conduct research to gather information from a variety of sources
- Online records management including maintenance, access, retrieval of electronic records
- Office management systems, procedures and equipment (computers and applicable software applications: word processing, spreadsheets, databases)
- Skills: Communication (oral, written), organisational, prioritising, multi-tasking, time management
- Planning meetings, recording notes, and preparing minutes as required

- Work on own initiative, with minimum supervision, and in a team-oriented, collaborative environment
