Human Resource Assistant will provide assistance to the Human Resource Manager with respect to HR policies and procedures as well as executing the duties of the weekly payrolls and the respective supporting processes

KEY RESPONSIBILITIES:


1) Payroll Processing:

  • Process and manage every component of the weekly payroll for all employees, ensuring timely and accurate payment on a weekly basis.
  • Verify, record and entering accurate payroll data, including timekeeping records, salary adjustments, incentives / bonuses, and deductions.
  • Calculate overtime, shift payments, and other variable elements of pay.
  • Printing, balancing and filing of all payroll reports weekly.
  • Monitoring, recording and entering all leave for weekly payroll such as absenteeism, sick leave, vacation and bereavement etc.

2) Compliance and Reporting:

  • Ensure compliance with National legal regulations related to payroll.
  • Prepare, process and file all necessary payroll tax documents and reports for all weekly staff.
  • Maintain accurate payroll records and employee files.
  • Onboarding and renewals of all weekly staff in terms of generating contracts, job descriptions and respective appraisals.

3) Benefits Administration:

  • Coordinate, process and manage employee benefits, such as health insurance, NIS, retirement plans, and other benefits.
  • Ensure proper deductions and contributions for benefits are processed.

4) Employee Support:

  • Respond to employee inquiries regarding payroll, deductions, and benefits.
  • Provide guidance and support on payroll-related issues and processes.
  • Preparation of all weekly staff job letters upon request within a timely manner.

5) System Management:

  • Maintain and update payroll systems and software.
  • Ensure data integrity and confidentiality in all payroll-related activities.

6) Audits and Reconciliation:

  • Conduct regular audits of payroll procedures and records to ensure accuracy.
  • Reconcile payroll accounts and resolve discrepancies. 

7) Assisting / Holding on with any other Human Resource related matters as requested.

 

Required Education and Training:

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field would be an asset.
  • 1-2 years’ experience within payroll.
  • Must be proficient in Microsoft Excel and Word.
  • Ability to meet deadlines.
  • Good communication skills.
  • Analytical and problem solving skills.
  • Knowledge and processing of NIS, health surcharge and PAYE claim forms.
  • Problem solving skills and the ability to multi task and work under pressure. 
  • Experience with TTpay payroll package will be an asset.
  • Solid team player with excellent interpersonal skills. 
  • Excellent communication skills, exceptional organizational ability, high attention to detail, and ability to multi­task. 
  • Ability and willingness to work flexible hours including evenings, weekends and holidays.
