PURPOSE OF JOB 

To oversee, expedite, and ensure the accurate, safe, and environmentally responsible loading/unloading of fuel at assigned Company bulk storage tanks or gantry. This role delivers a superior service experience to authorized customers while ensuring competent stewardship of Company assets and timely and accurate financial record-keeping and reconciliation of product movement. 

MAIN DUTIES AND RESPONSIBILITIES

  • Receive and deliver fuel from/to bulk storage tanks and confirm quality and quantity. • Receive and deliver fuel from/to bulk storage tanks and confirm quality and quantity.
  • Prepare and submit daily bulk storage tank reconciliation reports.
  • Maintain infrastructure, equipment, and accessories associated with bulk storage & fuel management system.
  • Perform and document periodic inspections on Company assets in accordance with Company policies.
  • Supervise repair and maintenance work on infrastructure and equipment to ensure compliance with Company HSE policies.
  • Provide intelligence on anticipated customer demand and assist in identifying potential new customers.
  • Review the Daily Master Schedule for authorized vehicle assignments, inventory levels, and timelines for fuel lifting.
  • Prepare accurate fuel requisition documents (e.g., Delivery Notes) in a timely manner.
  • Ensure vehicle operators have all necessary documentation for fuel deliveries.
  • Communicate any operational issues or irregularities in the Supply Chain to the Line Manager and work towards resolution.
  • Review the Daily Master Schedule for vehicle assignments, inventory levels, and timelines for fuel lifting.
  • Prepare Suppliers' fuel requisition documents (e.g., Product Orders) in a timely manner.
  • Prepare Customer Proforma Invoices, Invoices, or Delivery Notes in accordance with the Daily Master Schedule.
  • Monitor and collaborate with the Supplier’s designated authority to ensure time-efficient fuel loading onto authorized vehicles.
  • Monitor bulk storage fuel levels and reconcile any fuel movement.
  • Load/unload fuel at Bulk Storage facilities according to documented procedures.
  • Dispatch authorized vehicles and ensure operators have all necessary documentation for deliveries.
  • Communicate operational issues (e.g., vehicle breakdowns, delivery refusals) to the Distribution Coordinator and assist in resolution.
  • Prepare ad hoc reports as requested by senior management. 

ACADEMIC/PROFESSIONAL QUALIFICATIONS 

  • A minimum of three (3) O'Levels including Mathematics and English.
  • A vocational qualification or Associate Degree in any of the following fields:
    • Instrumentation
    • Automation
    • Mechanical Engineering
    • Industrial Engineering
  • A minimum of one (1) year experience in receiving and dispatching of goods, warehouse operations and stock taking, in any industry.
  • Experience in the downstream segment of the Petrochemical industry will be an asset.
  • Experience in hazardous working environments such as Oil & Gas, Process Plants, etc., which have a high HSE standard.
  • Computer literate, with competence in the use of the Microsoft Suite of products.
  • Knowledge of Enterprise Resource Planning (ERP) systems, e.g. Maximo, SAP, Microsoft Dynamics, Oracle, Sage, etc., will be an asset.
