The incumbent plays a critical role in supporting the Engineering Manager, department and team. (SHORT TERM CONTRACT)
Duties & Responsibilities:
o Provide administrative assistance to the Engineering Manager and department, such as
developing and maintaining department databases, prepare routine reports as well as
development of SOPs and checklists as per required frequency.
o Organizing and maintenance of all Engineering electronic and physical records and databases;
o Updates and maintains departmental overtime, training records, vacation, absenteeism, leave
records and tardiness logs;
o Prepare and disseminates meeting minutes, OPLs, timesheets and overtime requests, reports,
memorandums, letters, presentations and correspondence with the Eng. team, cross functional
team, suppliers and contractors.
o Assist with compiling KPI data required for monthly departmental reports.
o Prepare OPLs, time sheets, memorandums, draft disciplinary letters, purchase requisitions and
payment vouchers;
o Source and liaise with contractors, suppliers and service providers (both foreign and local) to
obtain quotes for assigned projects, materials, spares and equipment as required.
o Planning and organizing of department employee training, team building and recognition events;
o Recording of departmental expenses to minimize departmental costs, including overtime;
o Assists with conducting and recording findings of plant inspections and assist in executing
associated Engineering deliverables;
o Create and distribute weekly/monthly reports on plant operations to the cross functional team.
o Assist in the planning of projects (preparing scopes, Gantt charts, quote comparisons), and
preparations for plant audits / site visits.
o Assists with the planning of Work Order Requests and Walk around Engineering Items to ensure
timely execution and close off of these items;
o Track and prepare weekly report on Mean Times to Repair on Maintenance jobs;
o Assist with keeping teams updated on the progress of their service request;
o Follow up with the Engineering team on outstanding NFRs, Incident Reports, shift reports,
Planning, Inventory and training updates.
o Immediately report any non-conformances relating to maintenance operations to the Engineering
Manager.
o Conforms to all established departmental and company policies, procedures and objectives,
GMPs, food safety and HSE site protocols;
o Undergo any job-related training required by the company;
o Train as an alternate for key Engineering roles;
o Performs other related tasks and responsibilities as required.
Knowledge, Skills & Experience:
o Bachelor’s Degree in Mechanical, Electrical or Chemical Engineering
o Proficiency in database management, maintenance software and MS Office applications (Excel,
Word, PowerPoint)
o 2 years’ experience in a Maintenance environment (preferably with a manufacturing company)
o Excellent report writing skills
o Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
o Time management skills and able to work independently to meet objectives
o Strong attention to detail and accuracy in reporting, record-keeping and documentation
