Dispensing/Warehouse Clerk

The incumbent is responsible for receiving orders and for accurately dispensing raw materials used in production (and for resale) in a timely manner; accurately selecting, measuring & documenting all materials dispensed .

ROLE & CORE FUNCTION

The incumbent is responsible for receiving orders and for accurately dispensing raw materials used in production (and for resale) in a timely manner; accurately selecting, measuring & documenting all materials dispensed .

RESPONSIBILITIES & DUTIES

• Check incoming raw materials to ensure correctness of quantities and quality, before admitting these to the dispensing area.

-        Raw materials must be counted and verified against packing sheet or invoice.

-        Raw materials must be weighed where necessary, and weight documented /verified against standard weight on               document

-        Raw materials must be examined for wholesomeness – no signs of tear, spoilage, insect infestation, leaking,                   contamination etc.

-        Raw materials batch codes must be examined to ensure goods are not expired or close to expiration.

• Immediately report all non-conformances and variances identified to the 
• Accurately weigh or measure quantities of raw materials requested as per production schedule via formula sheets – submit to Production Lead for use in production.
• Record all lot or batch numbers of raw materials on the formula sheets provided.
• Sign and date formula sheets in the relevant areas to indicate that raw materials were dispensed.
• Dispense and label samples correctly
• Use FIFO – ensure that raw materials being used are done according to first in first out.
• Check balances on all overseas material,  used for the production day. This must be done at the end of each day.
• Document any spillage occurring at the end of the day to your immediate supervisor who will record such information. Conduct a physical check to verify the amount that was spilled.
• Conduct random spot checks on materials under the guidance of your supervisor.

OTHER REQUIREMENTS

• Keeping the raw material dispensing room in an orderly fashion (clean and all materials in their designated areas)
• Cleaning up spills as they occur
• Using separate scoops or dispensing equipment with the raw materials
• Practicing proper Allergen Management at all times (See procedure on Allergen Mgmt)
• Assisting in the warehouse as required by:

-Picking goods for delivery, using picking slip

- Being involved in stock counts

- Maintaining regular checks on stocked goods.

QUALIFICATIONS

High School graduate with passes in five CXC subjects including english & mathematics or equivalent,

*Certificate or Diploma in Inventory Control procedures.

*(or training on the job)

EXPERIENCE:

No prior experience required.

SPECIALIZED TECHNIQUES/KNOWLEDGE

-Proficiency in the use of spreadsheet programs e.g. (Microsoft excel).

-Ability to utilize reporting software to provide written reports

- Ability to use scales and measuring utensils proficiently

- Understand units of measure and conversion factors
