Responsible for managing, controlling, and optimizing the flow of parts and accessories to support both the service center and retail customers, delivering excellent customer service.

Duties & Responsibilities

A. Inventory Management & Controls

  • Oversee the ordering, receiving, storage, and issuance of all parts and accessories.

  • Maintain optimal stock levels through demand forecasting, safety stock analysis, and monitoring fast- and slow-moving parts.

  • Implement strong inventory controls to minimize pilferage, obsolescence, and discrepancies.

  • Conduct regular cycle counts and annual stock counts; investigate and resolve variances.

B. Operations & Workflow Excellence

  • Manage daily operations of the Parts Department, including counter sales, and service center parts supply.

  • Ensure efficient coordination between the Parts Department and Service Center to reduce vehicle downtime and improve job flow.

  • Maintain accurate parts pricing, costing, and margin management in the Dealer Management System (DMS).

C. Supplier & Logistics Management

  • Coordinate with Toyota Japan and other authorized suppliers on lead times, backorders, and special orders.

  • Monitor inbound shipments, customs documentation, and warehouse intake processes.

  • Report shortages, damage, or quality issues to suppliers and ensure timely resolution.

D. Financial Performance & Reporting

  • Drive profitability by managing margins, sales targets, budgeting, and expense control.

  • Prepare monthly management reports on sales performance, inventory valuation, obsolescence, and fill rates.

  • Ensure accurate and timely posting of goods receipts, stock adjustments, and costing updates.

E. Customer Service & Relationship Management

  • Ensure excellent service delivery to internal and external customers.

  • Address escalated customer concerns promptly and professionally.

  • Build strong relationships with fleet customers, body shops, and corporate clients to drive parts sales growth.

F. Leadership & Team Development

  • Lead and supervise Parts Advisors, Counter Clerks, Warehouse Staff, and Delivery personnel.

  • Provide coaching, performance feedback, and technical/product training.

  • Develop staffing plans to support operational needs and customer demand.

  • Foster a culture of teamwork, accountability, and customer-focus.

G. Compliance, Safety & Standards

  • Maintain strict compliance with brand owner standards, environmental guidelines, and safety procedures.

  • Ensure proper documentation for warranty parts, core returns, irreparable parts, and scrap disposal.

  • Oversee adherence to audit requirements, both internal and from Toyota regional offices.

Experience
✓  Minimum of a Bachelor’s Degree in Business Management/ Administration/ Marketing with at least 2 – 3 years’ experience in sales or marketing in a medium – large scale organization at a senior level
✓ Motor vehicles experience will be an asset
